Medical Office Assistant – University Co-op Placement
Type: Full-Time (35–40 hours/week)
Pay: $18.00/hour
Term: 4 or 8 months (based on co-op program)

Position Overview:
We are currently hiring university co-op students for full-time placements as Medical Office Assistants across three medical clinics. This is a paid opportunity for students currently enrolled in a business program with connection to medical office environments, Health Sciences, Life Sciences, Nursing, or related Medical/Administrative program to gain real-world experience in a clinical setting.
Co-op students will play an essential role in daily front-desk operations, patient coordination, and administrative functions using electronic medical record (EMR) software.

Key Responsibilities:

  • Patient Services
  • Answering and making patient calls (appointment booking, reminders, and follow-ups)
  • Greeting and checking in patients, ensuring smooth patient flow
  • Verifying OHIP and insurance information
  • Medical Administration
  • Updating and maintaining patient records using EMR systems (e.g., OSCAR, Accuro)
  • Scanning and organizing medical documents
  • Preparing referral forms, requisitions, and documentation as requested by physicians
  • Assisting in billing and administrative paperwork
  • Clinic Operations Support
  • Managing appointment schedules and physician calendars
  • Coordinating with clinical staff to ensure efficient operations
  • Supporting clinic cleanliness and organization of front-desk materials

Preferred Qualifications:

  • Enrolled in a recognized university co-op program (Health Admin, Life Sciences, Nursing, etc.)
  • Strong interpersonal and communication skills
  • Ability to handle confidential medical information with discretion
  • Detail-oriented and organized, with solid multitasking ability
  • Comfortable with MS Office and/or electronic medical software

Training Provided:

  • Onboarding on EMR systems and clinic protocols
  • Patient service training and privacy/confidentiality best practices
  • Shadowing opportunities with clinic admin and medical staff
