POSITION SUMMARY:

We are seeking a highly organized, detail-oriented, and compassionate Office Manager to oversee the daily administrative operations of our busy fertility clinic. The ideal candidate will ensure the smooth functioning of the front and back office, support clinical staff, manage administrative personnel, and contribute to a warm and professional environment for clients navigating emotionally sensitive care.

QUALIFICATIONS:

  • Associate’s or Bachelor’s degree in Healthcare Administration, Business Administration, or related field.
  • Minimum 3–5 years of office management experience, preferably in a medical or fertility clinic.
  • Strong leadership and interpersonal skills.
  • Proficiency with EHR systems.
  • Knowledge of medical billing, insurance procedures, and HIPAA regulations.
  • Excellent organizational, multitasking, and communication skills.
  • Ability to handle sensitive and confidential information with professionalism and discretion.

PREFERRED QUALIFICATIONS:

  • Experience working in a fertility or women’s health clinic.
  • Knowledge of fertility-specific procedures and terminology (e.g., IVF, IUI, donor coordination).

Responsibilities
  • Office Operations & Administration
  • Oversee day-to-day administrative functions of the clinic, including scheduling, reception, and patient communications.
  • Ensure compliance with HIPAA and other healthcare regulations.
  • Maintain and improve office workflows, policies, and procedures.
  • Manage inventory of medical and office supplies, coordinating with vendors as needed.
  • Team Leadership & Staff Management
  • Supervise and support administrative staff (front desk, billing, records, etc.).
  • Assist with recruitment, training, performance evaluations, and scheduling.
  • Foster a positive, supportive work culture that promotes teamwork and accountability.
  • Client Experience
  • Ensure a compassionate, client-centered approach at every point of contact.
  • Monitor and resolve client concerns or complaints in a professional manner.
  • Work closely with clinical staff to coordinate seamless client care.
  • Financial & Reporting Duties
  • Oversee billing operations and coordinate with third-party billing services or in-house billing teams.
  • Assist with budgeting, expense tracking, and financial reporting.
  • Monitor and optimize insurance verification and authorizations workflows.
  • Technology & Systems
  • Ensure proper use and maintenance of the clinic’s electronic health record (EHR) system.
  • Collaborate with IT support for system updates, training, and troubleshooting.
