MEDICAL OFFICE ADMINISTRATOR – JOB DESCRIPTION

We are actively recruiting an enthusiastic, service-minded Full-Time Medical Office Administrator in the region of Waterloo, Ontario. Some duties may require work at other clinic locations in the area.

QUALIFICATIONS/ SKILLS:

  • 2 years of administrative experience.
  • Exceptional customer service skills.
  • Open communication and strong teamwork mentality.
  • Understanding of PHIPA and the importance of patient confidentiality.
  • Experience working with Microsoft Office 365, Accuro/similar EMR is desired.

Responsibilities
  • Graciously greet each patient, schedule appointments, and maintain records and accounts, with a high level of service.
  • Attend to telephone calls / messages, and place reminder calls courteously.
  • Address patient questions empathetically and with confidence.
  • Optimize patient satisfaction, provider time, and treatment room utilization through efficient scheduling of appointments; work with Physicians and Technologists to keep schedule up to date and organized.
  • Maintain throughput by notifying provider of patient arrival.
  • Comfort patients by anticipating anxieties, questions, and maintaining the reception area.
  • Expertly file and retrieve patient records.
  • Manage patient accounts by obtaining, recording, and updating personal and financial information.
  • Assist in the maintenance of clinic inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs.
  • Protect patients’ rights by strictly maintaining confidentiality of medical, personal, and financial information.
  • Contribute to team effort by supporting colleagues as needed.
  • Triage incoming referrals appropriately.
  • Send and track outgoing referrals appropriately.
  • Utilize company EMR to generate new forms, input new requisitions, etc. with a focus on accuracy.
