Overview

We are seeking a dedicated and organized Medical Office Assistant to join our healthcare team. This role is essential in providing exceptional patient service, managing administrative tasks, and ensuring the smooth operation of our medical office. The ideal candidate will have experience with electronic medical records (PSSuite), strong communication skills, and familiarity with office management systems. Prior 2-3 years experience with medical front desk responsibilities required. Duties

  • Greet patients and visitors warmly at the front desk, ensuring a positive first impression
  • Schedule appointments and manage patient flow efficiently using PSS
  • Verify patient information and update records accurately
  • Answer multi-line phone systems promptly, directing calls appropriately and taking detailed messages when necessary
  • Assist with check-in and check-out procedures, including collecting co-pays
  • Maintain organized patient files and ensure confidentiality of sensitive information in compliance with HIPAA regulations
  • Prepare exam rooms, assist with patient vital, preparation of vaccines and/or procedures, and support clinical staff as needed
  • Manage correspondence, including emails and faxes, related to patient care and administrative tasks
  • Perform general office duties such as filing, data entry, and inventory management of supplies

Qualifications

  • Prior experience as a Medical Office Assistant required
  • Proficiency with electronic medical records systems such PSS
  • Strong knowledge of medical terminology and office procedures
  • Excellent organizational skills with attention to detail
  • Experience working in a fast-paced healthcare environment with multi-line phone systems
  • Ability to handle confidential information discreetly
  • Strong communication skills, both verbal and written
  • Previous experience in a medical office setting is highly desirable
  • Office experience demonstrating proficiency in administrative tasks and front desk operations
