Description

Glazier Medical Centre is a busy multi-disciplinary medical clinic. We are seeking a full time (up to 37.5 hours per week) Medical Office Assistant. Evening and weekend shifts may be required.
This role will act as a Float - working in various offices/departments within the clinic. As such, we are looking for a fast-learner who has strong computer and EMR skills, exceptional interpersonal/communication skills, and a strong desire to learn/grow within our clinic.
For this position we are seeking an experienced Medical Office Assistant.
We currently have an additional job posting for a Part-Time Medical Office Assistant, for which we will consider recent graduates of a MOA Educational Program and/or those with limited experience.

KNOWLEDGE, SKILLS, & ABILITIES:

  • Excellent communication and interpersonal skills
  • Knowledge of business office procedures, medical terminology, laboratory procedures
  • Strong organizational, time management and multitasking abilities
  • Proficient in using a computer and electronic medical records (EMR) systems (preferably Telus PS Suite)
  • Skill in greeting patients and answering the telephone in a pleasant and helpful manner
  • Excellent command of the English language, both verbal and written communication
  • Ability to maintain professionalism and confidentiality at all times

EDUCATION:

  • College with Medical Office Administration or related Diploma preferred.

EXPERIENCE:

  • A minimum of 3 years Medical Office Assisting (preferred).
  • Strong computer skills with experience using Electronic Medical Record systems (preferably PS Suite) an asset.

Responsibilities

GENERAL SUMMARY OF DUTIES:

  • Greets, instructs, directs, and schedules patients and visitors. Serves as a liaison between patient and medical staff.
  • Work in all areas of the medical centre including Urgent Care, Central Booking Department and Medical Reception for Family Physicians and Specialists.

Examples of Duties: (This list does not include all of the duties assigned)

  • Greets patients and visitors in a prompt, courteous, and helpful manner.
  • Verify and update personal/OHIP/insurance information in the EMR
  • Maintains appointment schedules and follows office scheduling policies.
  • Answers telephone, screens calls, takes messages, books appointments and provides information.
  • Responsible for completing all necessary test requisitions and other forms accurately.
  • Sorts and delivers mail, medical records, and other correspondence.
  • Screens visitors and responds to routine requests for information.
  • Maintains work area in neat and orderly manner.
  • Must be familiar with specimen collections for tests giving appropriate instruction for correct collection when needed.
  • Brief history of patients including height, weight, urine testing, vision testing, blood pressure, etc.
  • Ensures exam rooms are stocked with supplies
  • Assist with routine procedures such as pap smears, biopsies, etc. Be in the room, hand swab, specimen, etc.
  • Give patients appropriate instruction for specimen collections for tests.
  • Handling specimens and preparing them for lab drop-off.
  • Do hospital billing and office billing as required.
  • Put patients in exam rooms.
  • Physical cleaning of all surfaces in the exam rooms and patient areas
  • Surgical booking - organization of patients.
  • Book referral appointments.
  • Set up appointment schedule for physicians on computer terminal
