About the Position

I am a gastroenterologist specializing in inflammatory bowel disease and intestinal ultrasound opening a new practice in Vernon, BC, and I am looking for a reliable, organized, and patient-focused Medical Office Assistant (MOA) to join me as I establish my practice.

This is an opportunity to be a key part of building a new clinic. The successful candidate will work closely with me to develop efficient office workflows, coordinate patient care, and help create a welcoming and well-organized experience for our patients.

The position will ideally begin on a part-time basis in December 2026, with the goal of transitioning to regular hours in January 2027 when the practice begins seeing patients. The December start will provide an opportunity to become familiar with the practice, EMR, and administrative processes, as well as help organize the January schedule.

Key Responsibilities

  • Managing incoming referrals and coordinating new patient appointments
  • Scheduling and managing follow-up appointments
  • Communicating with patients by phone and email regarding appointments and routine administrative questions
  • Preparing and maintaining accurate electronic medical records
  • Obtaining and organizing medical records, reports, and investigation results from other healthcare providers and facilities
  • Preparing consultation letters and other correspondence
  • Coordinating investigations and follow-up as required
  • Managing incoming and outgoing fax and electronic correspondence
  • Communicating with referring physicians, other healthcare providers, and hospital/clinic staff
  • Assisting with other administrative tasks
  • Maintaining an organized and efficient office
  • Supporting the development and improvement of clinic workflows as the practice grows
  • Maintaining strict patient confidentiality and professionalism at all times

What I'm Looking For

The ideal candidate will be:

  • Organized, dependable, and detail-oriented
  • Professional, friendly, and compassionate when interacting with patients
  • Comfortable working independently and taking initiative
  • Able to prioritize and manage multiple tasks effectively
  • A strong communicator, both verbally and in writing
  • Comfortable learning new computer systems and electronic medical records
  • Experienced with medical terminology and medical office procedures
  • Experienced working in a medical office or specialist clinic
  • Familiar with Accuro EMR (an asset)
  • Familiar with the BC healthcare system and referral processes (an asset)

Previous experience as an MOA is preferred, but I am also interested in candidates who have strong administrative skills and relevant healthcare experience.
