Description

We are a growing family doctor office and walk-in clinic providing primary health services. We are seeking a highly organized and compassionate Medical Office Assistant (MOA) to join our team. The MOA will be responsible for managing administrative tasks, providing patient support, and assisting with the smooth daily operation of the clinic. This position requires excellent organizational skills, a strong ability to multitask, and a passion for providing excellent patient care.

QUALIFICATIONS:

  • Medical office experience, including front desk and administrative roles in a healthcare setting.
  • Proficiency in Electronic Medical Records (EMR) systems and appointment scheduling software.
  • Familiarity with multi-line phone systems and medical terminology.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent communication skills, both verbal and written, with the ability to interact with patients, healthcare providers, and staff.
  • Attention to detail and ability to maintain accuracy when managing patient records and documents.
  • Knowledge of medical billing and insurance procedures is an asset.
  • Ability to work independently and as part of a team in a fast-paced, patient-focused environment.
  • Customer service orientation, with a friendly, compassionate approach to patient care.

Responsibilities
  • Front Desk Operations:
  • Greet patients, provide assistance at the front desk, and ensure a welcoming, professional environment.
  • Handle multi-line phone systems to schedule appointments, confirm bookings, and address patient inquiries.
  • Administrative Support:
  • Maintain Electronic Medical Records (EMR) with accuracy, confidentiality, and compliance with privacy regulations.
  • Manage patient intake forms, including insurance verification, consent forms, and medical history.
  • Assist with data entry, filing, and maintaining patient charts.
  • Process patient billing, insurance claims, and ensure timely payment processing.
  • Patient Coordination:
  • Coordinate patient appointment schedules, ensuring smooth transitions between primary care visits.
  • Assist with patient education, providing treatment instructions and pre-appointment guidelines.
  • Follow up with patients post-treatment and ensure proper documentation is in place.
  • Clinic Operations:
  • Prepare and manage clinical materials, ensuring that supplies are stocked and ready for patient visits.
  • Assist clinical staff as needed during patient appointments, providing support with medical documentation and other tasks.
  • Ensure that all office procedures are executed smoothly and efficiently.
  • Communication:
  • Communicate effectively with patients, healthcare providers, and office staff to ensure coordinated care.
  • Answer patient calls, provide appointment reminders, and handle inquiries related to billing or treatments.
  • Maintain patient confidentiality in accordance with healthcare regulations.
  • General Office Support:
  • Manage office tasks such as handling mail, faxing documents, and other administrative duties as required.
