Our new family medical practice is seeking a committed and organized Medical Office Assistant (MOA) to join our healthcare team. The MOA is often the first point of contact for our patients and represents the practice values. You will play an important role in ensuring the smooth operation of our medical office, provide exceptional support to both patients and healthcare professionals. This position requires proficiency in electronic medical records and familiarity with medical terminology, as well as excellent communication skills to manage front desk responsibilities effectively. The role is for individual who can work effectively in a fast-paced clinical environment.

Full job description
- Receive and welcome patients to the clinic.
- Check patients in and provide necessary paperwork for their visit.
- Answer or direct patient queries and feedback, ensuring a high level of customer service.
- Coordinates the flow of patients in and out of the examination and treatment areas to ensure efficient use of the facility and schedules are maintained.
- Professionally communicate with, and maintain positive relationships with other health care teams.
- Maintain office calendar, send appointment reminders to patients.
- Communicate and uphold clinic no show and late cancellation policy.
- Handle incoming calls timely and respond to patient inquiries using phone systems.
- Take vital signs such as height, weight, and temperature
- Assist physicians with clinical tasks such as taking bloods and giving intramuscular injections, hence these competencies are a must.
- Other clinical tasks as urine dip and blood pressure recording
- Maintain accurate electronic medical records (EMR) using systems such as Accuro or any other EMR system
- Assist with the preparation of patient charts and documentation for appointments.
- Perform administrative tasks including filing, data entry, scanning, faxing and maintaining a clean and organized front desk area
- Process insurance verifications and manage patient billing inquiries.
- Respond to all communication including emails and through faxes
- Initiate referrals to specialist office and follow up with pending referrals
- Ensure the front desk/waiting area is organized and welcoming for patients.
- Maintain examining rooms with necessary supplies and ensure rooms are cleaned and orderly
- Provide training to new MOA staff, as required.
- Provide coverage for breaks or time-off for other team members.
- Advise appropriate staff when inventory is running low.
- Follow clinic procedures and practices, providing feedback for improvements.
- Understand and comply with clinic environmental infection prevention and control measures.
- Understand and comply with clinic sick policy.
- Maintain professional communication and relationship with all members of clinical team.
- Clear understanding and ability to comply with regulations surrounding privacy and confidentiality of patient data
- Other duties as assigned.
Qualifications/competences
- Previous experience in a family physician’s office or similar clinical environment is necessary
- Familiarity with Accuro or other electronic medical records (EMR) systems
- Strong understanding of medical terminology to communicate effectively with healthcare staff and patients.
- Excellent organizational skills with attention to detail in managing office tasks.
- Proficient in operating standard office equipment and phone systems.
- Ability to multitask in a fast-paced environment while maintaining professionalism.
- Completion of post-secondary diploma or certificate in Medical Office Administration will be considered an asset. An IMG (International Medical Graduate) with relevant clinic experience will also be given consideration
- Solid understanding of healthcare administration, regulations, compliance, and best practices.
