We are a community-based mental health and private addictions clinic.
Job Overview:
We are seeking a detail-oriented and organized Medical Office Assistant to join our healthcare team. The ideal candidate will provide administrative support in a medical office setting, providing front line service to all clients and working in conjunction with team members.
9am-4pm Monday-Friday
Responsibilities:
- Greet patients and visitors in a professional and friendly manner
- Answer phone calls, schedule appointments, and manage patient inquiries
-Facilitate appointment booking and preparation process for client visits by interacting with prospective and actual clients and ensuring client documentation is prepared and complete prior to their visit
-Verify client information at client check-in as well as in EMR (electronic medical record)
- Maintain patient records and ensure accurate documentation
- Assist with insurance verification and billing processes
- Handle medical office tasks such as filing, faxing, and data entry
- Collaborate with healthcare providers to coordinate patient care
-Communicate effectively with the team to assist with process design and troubleshooting when optimizing systems
-Build and maintain long term relationships with clients by:
-Following standard procedures to create a clinic-client relationship (account set up, client needs clarification, billing/fee arrangements
-Assuring the accurate documentation of client interactions
-Communicating any issues regarding client experience to facilitate continuous improvement
Qualifications:
Role Essentials:
-Over one years’ professional Office Assistant experience, including the use of an Electronic Medical Record system or equivalent education and experience (Office Assistant in some other professional services setting, legal, dental, etc.)
-Minimum one years’ comprehensive customer service experience
-Exceptional interpersonal and communication skills
- Experience with front desk operations and phone systems
- Knowledge of administrative tasks in a medical office setting
-Proficiency in Microsoft Office, Excel and Quickbooks online
-A high school diploma
-Experience using multiple computer applications simultaneously
Role Desirables:
-Bilingualism is an asset
-Professional Office Assistant diploma or equivalent certification program an asset
-Experience in Information Technology and data management, please reference relevant Management Information System experience in application
