Description

Seeking an experienced Medical Office Assistant (MOA) with strong leadership abilities to oversee daily clinical and administrative operations, supervise staff, support physicians, and ensure the highest standards of patient care in a fast-paced medical practice.

Key Responsibilities

  • Oversee, enforce, and regularly review established clinical protocols and guidelines, ensuring all staff adhere strictly to these standards to maintain consistent, high-quality patient care and regulatory compliance.
  • Supervise and coordinate MOA and administrative staff, including scheduling, onboarding, providing guidance, and conducting regular performance reviews.
  • Oversee patient flow through the clinic, ensuring appointments are scheduled efficiently and exam rooms are prepared and maintained.
  • Provide direct administrative and clinical support, including managing patient records, handling billing, and ensuring compliance with privacy and confidentiality standards.
  • Lead recruitment and orientation of new MOAs and support ongoing staff training and development.
  • Assist with supply/inventory management responsibilities as delegated.
  • Develop and implement office policies and procedures, ensuring compliance with medical, legal, and regulatory requirements.
  • Serve as main liaison between physicians and MOA staff regarding HR matters, workflow optimization, and staff well-being.
  • Maintain a positive, patient-centered work environment; handle escalated patient inquiries and resolve any issues in a professional manner.

Qualifications and Skills

  • Completion of a recognized Medical Office Assistant diploma or equivalent experience required.
  • At least 2 years’ recent experience as an MOA, with prior supervisory or leadership experience an asset.
  • Proficiency with electronic medical records, office software, and billing/provincial insurance systems.
  • Excellent organizational, communication, and interpersonal skills; ability to multi-task and problem-solve in a dynamic team environment.
  • Demonstrated leadership abilities with experience mentoring or supervising staff.
  • In-depth knowledge of medical office procedures, patient privacy legislation, and best practices in healthcare workplace management.

Compensation
Wages to be determined based on experience and qualifications.
Full-time (40 hours per week).
Job Type: Permanent
Pay: $18.00-$22.00 per hour
