QUALIFICATIONS

  • 2–3 years of experience as a Medical Office Assistant.
  • Post-secondary education in medical office administration, unit clerk training, or related field.
  • Strong knowledge of medical terminology and clinical processes.
  • Experience working in a medical or clinical environment (dermatology experience an asset).
  • Proficiency in EMR systems (MedAccess preferred).

RESPONSIBILITIES & REQUIREMENTS

We are seeking an organized, empathetic, and patient-focused Medical Office Assistant to join our busy dermatology clinic. The ideal candidate will provide both administrative and clinical support to ensure a smooth, efficient, and professional patient experience.

ADMINISTRATIVE DUTIES

  • Maintain smooth patient flow throughout the clinic with professionalism, empathy, and a welcoming attitude.
  • Greet and check in patients, updating personal and demographic information in the EMR (MedAccess experience an asset).
  • Create and maintain accurate patient files, ensuring information such as PHN, next of kin, and contact details are current.
  • Document relevant medical and personal information, as well as patient interactions, in the EMR.
  • Provide patients with clear instructions for follow-up appointments, medical tests, and procedures.
  • Prepare and distribute required forms or special instructions for upcoming visits.
  • Arrange patient bookings for tests, specialist appointments, x-rays, and other referrals both locally and externally.
  • Communicate preparation requirements for procedures and tests performed at the clinic.

MEDICAL SUPPORT DUTIES

  • Prepare exam rooms for both booked and walk-in patients, assisting with gowns or necessary clothing changes.
  • Set up surgical or dressing trays for procedures.
  • Record patient vitals, including weight, height, and blood pressure.
  • Assist physicians with procedures such as minor surgeries, dressings, sutures, wart treatments, and cosmetic removals (as directed).
  • Clean and sterilize exam rooms, equipment, and—if required—patient washrooms.
  • Maintain medication sample inventory, checking for expired items.
  • Follow laboratory specimen collection and transportation protocols.
  • Perform and document daily sterilization/reprocessing of medical instruments.
