Convergence health is currently hiring for an Entrepreneurial, servant leader to manage our outpatient multi-specialty clinic. As the Medical Office Supervisor, you will oversee daily operations of the medical office and outpatient treatment center, ensuring compliance with Arizona Department of Health Services (AZDH) and Centers for Medicare & Medicaid Services (CMS) standards. This role provides leadership to front office and clinical support staff as well as lead by example by functioning as a versatile team member—supporting scheduling, patient flow, and clinical tasks as needed, including occasional coverage as a Medical Assistant within the scope of training and certification. Essential Duties and Responsibilities Administrative & Supervisory Duties 1. Supervise day-to-day operations of the medical office, including front and back office workflows. 2. Train, schedule, and oversee front desk and support staff to ensure efficient patient registration, scheduling, authorizations, and insurance verification. 3. Monitor compliance with AZDH Outpatient Treatment Center rules (R9-10-1003 et seq.), CMS Conditions for Coverage (42 CFR Part 416), HIPAA, OSHA, and AAAHC standards. 4. Ensure proper maintenance of patient medical records, whether electronic or paper, in accordance with AZDH and CMS requirements. 5. Monitor and reconcile daily patient encounters, billing logs, and charge capture in collaboration with the Business Manager. 6. Support revenue cycle processes, including co-pay collection, deposit reconciliation, and documentation accuracy. 7. Assist with policy and procedure implementation, staff orientation, competency validation, and continuing education. 8. Participate in quality improvement activities and compliance audits. Front Office Support 1. Greet and register patients, verify insurance, and collect co-payments when needed. 2. Maintain appointment schedules, cancellations, and rescheduling to optimize patient flow. 3. Serve as a point of escalation for patient service concerns and coordinate resolution. 4. Ensure accurate completion of consent forms, financial responsibility forms, and pre-procedure requirements. Back Office & Clinical Support 1. Room patients, record vital signs, and document health information within the scope of practice. 2. Assist providers with examinations and office-based procedures when needed. 3. Administer medications, perform injections, and carry out other delegated medical assistant duties only if certified/qualified per AZDH requirements. 4. Ensure infection control practices and OSHA standards are followed in both front and back office operations. 5. Support supply ordering, medication storage, and inventory control in compliance with AZDH and CMS. Requirements Qualifications High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration or related field preferred. Certified Medical Assistant (CMA, RMA, CCMA, or equivalent) strongly preferred. Minimum of 3 years’ experience in a medical office or ambulatory surgery/clinic setting, with at least 1 year in a lead or supervisory role. Knowledge of AZDH Outpatient Treatment Center regulations, CMS Conditions for Coverage, HIPAA, and OSHA standards Strong organizational, leadership, and communication skills. Ability to function flexibly across administrative and clinical roles. Physical and Work Environment Requirements Ability to sit, stand, walk, and assist with patient care throughout the day. May require lifting up to 25 pounds and occasional patient assistance. Work performed in clinical, administrative, and patient care settings with exposure to communicable diseases and biohazard materials. Compliance and Safety Adheres to all organizational policies and procedures. Maintains confidentiality of patient information as required by HIPAA. Ensures staff compliance with AZDH, CMS, OSHA, and AAAHC requirements for outpatient treatment centers.
