Description

· RECEPTION ADMINISTRATION

· Direct post upstairs to office.
· Deal with queries appropriately.
· Retrieve and file records as necessary.
· Accept payment and issue receipts.
· Action requests for Ambulance Transportation and in accordance with practice protocol.
· Deal with patient samples and ensure forms are fully completed.
· Access patients’ documentation via the Docman System.
· Ensure efficient handover between each receptionist shift.
· Ensure patient confidentiality is maintained at all times.
· Ensure reception and waiting room areas are kept clean and tidy after clinic sessions.
· Follow closing protocol at the end of the surgery.
· Any other duties relevant to the efficient running of the practice.

Responsibilities

MAIN DUTIES AND RESPONSIBILITIES

· To welcome patients as they arrive at the practice.
· To make appointments by following the relevant protocols.
· To ensure patients are seen by the appropriate clinician.
· To handle enquiries, in person, and over the telephone.
· To act on requests from clinicians and communicate messages to the patients.
· Reception administration.
· All patient information to be recorded on the EMIS clinical system.
· All duties to be performed in accordance with practice protocols.

TELEPHONE DUTIES

· Making appointments for the patients to attend the surgery.
· Ensuring triage requests are dealt with in a timely and appropriate manner.
· Taking calls from patients requesting home visits.
· Dealing with investigation results, i.e. blood tests & X-rays.
· Dealing with patient enquiries.
· Receive, make phone calls and divert appropriately.
· Ensure that the system is operational at the beginning of each day (8am)
