SUMMARY
As a Medical Receptionist, you will be the first point of contact for patients, providing essential administrative support in a healthcare setting. Reporting to the Office Manager, your core skills in office and administrative experience will be vital in managing patient appointments, handling enquiries, and maintaining accurate records. JOB DESCRIPTION DETAILS
The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Maintaining and monitoring the practice appointment system
b. Process personal, telephone and e-requests for appointments
c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
d. Signpost patients to the correct service
e. Booking appointments for external agencies
f. Process incoming and outgoing email
g. Initiating contact with and responding to, requests from patients, team members and external agencies
h. Process repeat prescriptions, ensuring they are processed accurately and efficiently
i. Read code data on practice system
j. Photocopy documentation as required
k. File and store records as required
l. Data entry of new and temporary registrations and relevant patient information as required
m. Input data into the patient’s healthcare records as necessary
n. Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
o. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
p. Accept payment for private medical work
q. Manage all queries (including administrative queries) as necessary in an efficient manner
r. Accept deliveries from couriers
s. Ensure the pathology samples are collected
t. Carry out system searches as requested
u. Maintain a clean, tidy, effective working area at all times
v. Monitor and maintain the reception area and notice boards
w. Support all clinical staff with general tasks as requested
In addition to the primary responsibilities, the medical receptionist administrator may be requested to:
a. Process all DNA letters in accordance with current policy
b. Action GP2GP tasks
c. Action death documentation
d. Support administrative and reception staff, providing cover during staff absences
e. Complete opening and closing procedures in accordance with the duty rota
f. Ordering and monitoring of stationery supplies
g. Partake in audit as directed by the audit lead
