SUMMARY:

The Essex County Nurse Practitioner – Led Clinic (ECNPLC) provides primary health care services to the residents of Essex, Amherstburg, Kingsville, Windsor and surrounding communities.
The Medical Receptionist provides secretarial support to other team members in the clinic and works within an interdisciplinary team. They collaborate with all team members and report to the Executive Director.

QUALIFICATIONS

· College diploma/certificate or equivalentin related field.
· Medical Terminology/OHIP Billing certificate or equivalent.
· Ability to work flexible hours and at different locations as needed.
· Minimum of two to four years of experience preferred.
· Demonstrated ability to work effectively in a team environment.
· Proficiency in the use of computers and various software applications.
· Excellent organizational skills.
· Excellent written and oral communication.
· Current police clearance for adults and children.
· Second language would be an asset.
· Job duties may expand as necessary to support operational demands.

Responsibilities
  • Proficiency in the use of computer and phone systems.
  • Strong customer service orientation and a demonstrated ability to handle difficult situations as they arise and the ability to be diplomatic, tactful and discreet in working with our clients, their family members, physicians and coworkers.
  • Performs clerical support for the interdisciplinary providers including electronic chart management, follow-up calls, and other external organizations on behalf of the team.
  • Answers phones promptly and uses knowledge of clinic phone system to redirect calls.
  • Ensures safe disposal of confidential material.
  • Greets patients upon their arrival to the clinic.
  • Brings patients into the exam room and provides set up for the Nurse Practitioners.
  • Enters file updates in the electronic medical record.
  • Books appointments and follow ups in the electronic medical record.
  • Demonstrates an awareness of relevant legislation specific to the work assignment.
  • Maintains confidentiality and security of information.
  • Filing as deemed necessary.
  • Ensures demographic data in the electronic medical records is updated when required at each visit.
  • Ensures that phone and reception area is covered at all times unless otherwise directed by management.
  • Notifies Executive Director and/or Program manager of any staff illness to allow for expedient caseload screening and appointment cancellations
  • Checks e-mails, incoming fax and electronic medical records system each morning and periodically throughout the day. Notifies clinical staff as necessary re: urgent items.
  • Forwards paper copies of received notes and results to clinical team member (e.g.: from specialists, lab, etc.) while simultaneously entering into patient chart in PDF format.
  • Calls clients with cancellations and booking changes as needed.
  • Photocopies and collates documents for distribution, mailing and filing as needed.
  • Maintains and prepares reports from manual or electronic files, inventories, mailing lists and databases.
  • Sends and receives messages and documents using fax machine or electronic mail.
  • Arranges for referrals as needed. This includes documenting appointment in the electronic medical record and notifying the patient.
  • Enters data with both efficiency and accuracy.
  • Demonstrates familiarity with medical terminology.
  • Performs other tasks as deemed necessary.
