This is not a typical receptionist role. You will be the hub of patient access, communication, and coordination, supporting providers, nurses, and patients across the full continuum of care. What Makes This Role Unique You are a key part of the care team, not just the front desk You help ensure patients get the right care at the right time You contribute directly to quality outcomes and patient experience You work in a practice that values efficiency, teamwork, and doing today’s work today Key Responsibilities Patient Access & Communication Manage high-volume, multi-line phone systems professionally and efficiently Schedule appointments based on clinical needs and provider availability Screen and triage calls appropriately, including urgent situations Communicate clearly with patients, providers, and external partners Scheduling & Care Coordination Coordinate appointments across providers and services Arrange referrals, procedures, and follow-up care Track orders and ensure completion of referrals and testing Support care coordination with specialists and community resources Patient Registration & Check-In Verify and update demographic and insurance information Ensure required consents and documentation are complete Provide a welcoming, professional first impression for every patient Checkout & Financial Responsibilities Collect co-pays and process payments accurately Schedule follow-up care based on provider plans Provide patients with visit summaries and next steps Administrative & EHR Workflows Manage patient messaging and ensure timely responses Process incoming records and route appropriately Perform pre-visit planning and insurance verification Maintain accurate, complete documentation in the EHR What We’re Looking For Required: High school diploma (some college preferred) 2+ years of experience in a medical office or similar setting Strong computer and data entry skills Core Competencies: Ability to manage multiple tasks with frequent interruptions Strong attention to detail and organizational skills Excellent customer service and communication skills Comfort working in a fast-paced, team-based environment Our Culture At Cold Hollow Family Practice, we: Work as a true team—we help each other and step in where needed Take pride in high-quality, patient-centered care Value efficiency and accountability—we complete our work each day Support a workplace that is professional, collaborative, and positive Why Join Us?
