Langham Place Surgery is looking for an enthusiastic, forward thinking, dedicated team player who has excellent customer service experience. The successful candidate will be able to work in a high paced environment and deal with a variety of situations. The hours consist of afternoon shifts across the working week. Monday - Friday. The shift pattern is Monday 2.00pm-6.30pm, Tuesday 2.00pm-6.30pm, Wednesday 1.00pm-6.30pm, Thursday 1.00pm-6.30pm, Friday 1.00pm-6.30pm.
Our reception team are well established. They are the primary contact for our patients and are skilled in signposting patients to the most appropriate clinician by care navigation. They manage appointment booking and process prescriptions. The reception team are also involved with QoF and IIF work.
Receptionist Responsibilities:
· Process personal, telephone and e-requests for appointments
· Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
· Processing and dealing with complaints if appropriate that come into reception, following the Practice process and liaising with the Reception Supervisor and PM
· Signpost patients to the correct service
· Data entry of new and temporary registrations and relevant patient information as required
· Input data into the patient’s healthcare records as necessary
· Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms, referral requests to the administrative team
· Maintain a clean, tidy, effective working area at all times
· Monitor and maintain the reception area and notice boards
· Support all clinical staff with general tasks as requested
· To monitor and process the Practice footfall requests
· To ensure all business continuity checks are adhered to
· Log messages to GPs and other staff
· Allocate appointments using computerised system
· File and check correspondence for archiving
· Rearrange appointments for surgeries when changes occur
· Clear up/tidy GP rooms and restock when necessary
· Chaperone for patient examinations when necessary
· Process payment of fees for relevant service
· File and store records as required
· Photocopy documentation as required
· Input data into the patient’s healthcare records as necessary
· To note sort and summarise
· Send text alerts as directed
· Check delivery notices
· Filing of documents
· To assist with infection control tasks
· To work flu Saturdays
· Mandatory attendance at PLT sessions (Currently X1 month Wed PM)
· Undertake training as requested to support safe and effective services for the Practice
· Initiating contact with and responding to, requests from patients, team members and external agencies
· Carry out other duties as may reasonably been requested by the GPs, Practice Manager Reception supervisor and Senior Admin
· Escalate any problems to the appropriate person that you need support with
· Manage all queries as necessary in an efficient manner
