Description:

POSITION SUMMARY:

The Reception Staff is responsible for registering all donors, scheduling donations and performing general administrative duties.

REQUIRED SKILLS, QUALIFICATIONS AND EXPERIENCE:

  1. High School Diploma or higher education.
  2. Excellent interpersonal communication skills
  3. Medical administrative experience is an asset.
  4. Ability to organize, multitask, prioritize and work well under pressure.
  5. Proficiency with computers and related peripherals
  6. Must have legible handwriting.
  7. Maintain a professional appearance.
    Excellent customer service skills and the ability to positively interact with donors.

    Pay: $34,320.00 per year

Responsibilities:

  1. Maintain compliance with Standard Operating Procedures (SOPs), current Good Manufacturing Procedures (cGMP), and regulatory guidelines.
  2. Register donors in accordance with established guidelines and donor management system
  3. Maintain donor confidentiality at all times.
  4. Answer the telephone and any donor inquiries regarding the procedure, compensation, and company policies in a prompt and professional manner.
  5. Guide donors around the centre and familiarize them with the provided services when necessary.
  6. Provide general information about the donation process and redirect queries to the appropriate personnel, whether in person, phone, or electronically.
  7. Promote donor satisfaction through appropriate interaction and responsiveness to donor needs.
  8. Provide donors with satisfaction surveys, snacks and refreshments on a daily basis.
  9. Monitor and evaluate operations and provide feedback to the supervisor.
  10. Schedule future donation appointments.
  11. Perform clerical duties including creating and maintaining donor record files and inputting information into the donor management system.
  12. Maintain equipment and work areas in a clean and organized manner, troubleshoot any equipment errors as they arise and report all equipment in need of repair to the direct supervisor or designated personnel.
  13. Maintain supplies necessary to perform all job duties.
  14. Document all records accurately and thoroughly. Maintain all permanent files in an organized and efficient manner.
  15. Report quality issues and procedural deviations to Quality System Management Department.
  16. Identify any needed changes in department-specific SOPs/APPs.
  17. Must address all observations identified by Quality System Management Department in a timely manner.
  18. Receiving shipment deliveries and distributing them to addressed personnel in a timely manner.
  19. Performs other duties as assigned, including but not limited to, cleaning of all areas in the center, receiving and shipping of products and materials.
  20. Responsible for maintaining a consistent and regular attendance record.
  21. Attend all required training sessions, staff meetings, etc.
  22. May be required to work weekends, evenings and some holidays.
  23. May be assigned to train or work with new employees.
  24. May be assigned to assist in other areas as needed.
