About the role


Wallace Street Specialist Centre is seeking a dedicated Medical Receptionist to join our team in Chermside, QLD. This is a full-time position that plays a vital role in ensuring our specialist medical practice operates smoothly and efficiently. As the first point of contact for patients and visitors, you will be instrumental in delivering exceptional customer service whilst managing administrative functions that support our operations. This role is essential to creating a welcoming environment and maintaining the high standards expected in a professional medical setting.

Key responsibilities

  • Greeting patients with professionalism and warmth, ensuring they feel welcomed at our practice
  • Managing patient check-ins and check-outs using medical practice management software
  • Scheduling and confirming patient appointments, and managing the appointment diary efficiently
  • Collecting relevant patient information and updating medical records accurately and confidentially
  • Processing patient payments and managing invoicing procedures
  • Answering telephone enquiries and directing calls to appropriate staff members
  • Filing and organising medical records and administrative documents in compliance with privacy regulations
  • Assisting with general administrative tasks to support the medical and research team
  • Maintaining a clean and organised reception area
  • Ensuring compliance with medical privacy legislation and practice procedures

What we're looking for

  • Previous experience working as a medical receptionist or in a similar healthcare administration role would be advantageous
  • Strong organisational and time management skills with the ability to manage multiple tasks simultaneously
  • Excellent verbal and written communication skills with a professional manner
  • Ability to change and adapt to meet the requirements of any given day
  • Skilled in general computer applications, Microsoft Office, and experience in medical practice management software (Genie proficiency highly advantageous)
  • Customer service experience with a genuine commitment to providing a positive patient experience
  • Knowledge of medical terminology and understanding of healthcare confidentiality and privacy requirements
  • Attention to detail and accuracy when handling patient records and administrative documentation
  • A calm and courteous demeanour, with the ability to handle enquiries and situations with empathy
  • Relevant qualifications in medical administration, health administration or reception (preferred but not essential)
  • Desire to contribute to a small yet dynamic team, and to strive for continued development within the role
