About IVISION LASER

IVISION LASER is a leading specialist ophthalmology clinic located in Dulwich, Adelaide. We are committed to delivering exceptional patient care and providing a professional, welcoming and supportive environment for our patients and team.

We are seeking an enthusiastic, organised and professional Patient Coordinator / Medical Receptionist to join our team.

This is an excellent opportunity for someone who enjoys working with people, takes pride in delivering outstanding customer service and thrives in a busy, patient-focused healthcare environment.

The position offers a 9-day fortnight, with flexibility required to cover annual leave and other staff absences as needed.

About the Role

As a Patient Coordinator / Medical Receptionist, you will play an integral role in ensuring our patients receive a positive and seamless experience from their initial enquiry through to their appointments, surgery and ongoing care.

You will be a key point of contact for patients, medical practitioners, referring optometrists and other healthcare professionals, while supporting the efficient day-to-day operations of the clinic.

We are looking for someone who is proactive, highly organised, has exceptional attention to detail and can confidently manage competing priorities while maintaining a friendly and professional approach.

Key Responsibilities

  • Provide a warm, welcoming and professional experience for all patients and visitors.
  • Manage incoming telephone calls, emails and patient enquiries with excellent communication and customer service skills.
  • Coordinate patient appointments, registrations and updates to patient records.
  • Process incoming referrals accurately and within required timeframes.
  • Maintain accurate patient records, correspondence and documentation using our practice management system, Xestro.
  • Coordinate patient flow throughout the clinic, liaising with clinical staff and keeping patients informed of appointment delays.
  • Accurately process patient invoicing, payments and Medicare billing.
  • Coordinate surgical bookings, including hospital admissions, pre-operative documentation, checklists and post-operative appointments.
  • Liaise professionally with ophthalmologists, optometrists, patients, hospitals and other healthcare providers.
  • Assist with general administrative duties and maintain a clean, organised and welcoming reception environment.
  • Work collaboratively with the wider team to ensure the smooth and efficient operation of the clinic.

About You

We are looking for a reliable, personable and enthusiastic individual who genuinely enjoys working with people and takes pride in delivering exceptional customer service. You will be well presented, approachable and confident in engaging with patients, greeting everyone with a warm smile and making them feel welcome, comfortable and valued from the moment they arrive. A friendly disposition, positive attitude and genuine interest in people are essential to creating an outstanding patient experience.

Previous medical reception experience is highly regarded but not essential. We recognise that excellent customer service skills are developed across many industries, and we welcome applications from candidates with backgrounds in hospitality, sales, retail or other customer-facing roles who have a natural ability to connect with people.

If you have a background in hospitality, sales, customer service or a similar customer-facing role, we would love to hear from you! If you have excellent communication skills, strong attention to detail and a genuine passion for helping people, we can provide the training and support to help you succeed in a specialist healthcare environment.

To be successful in this role, you will demonstrate:

  • Exceptional customer service skills and a warm, professional manner.
  • Excellent written and verbal communication skills.
  • Outstanding attention to detail and accuracy.
  • Strong organisational and time management skills.
  • A proactive, positive attitude and willingness to learn.
  • The ability to remain calm and professional in a busy environment.
  • Confidence in communicating with people from all walks of life.
  • The ability to work independently and collaboratively within a team.
  • A high level of professionalism, discretion and confidentiality.
  • Flexibility to assist with staff leave coverage when required.

Highly regarded, but not essential:

  • Experience in medical reception, hospitality, sales or customer service.
  • Experience using medical practice management software, preferably Xestro.
  • Knowledge of medical terminology, Medicare billing and private health insurance.
  • Proficiency in Microsoft Office 365.

Responsibilities

Our Academic Cardiology practice is looking for a Medical Secretary/Receptionist to join our busy team. This is a full-time position only.

This role requires energy, enthusiasm and a keenness to learn the skills required to provide administrative support for patient care. An ability to work collaboratively with consideration and compassion for both patients and your colleagues is essential.

Given that patients attending the practice are sick and often stressed, an ability to maintain a caring approach to patients and their families is very important.

This challenging role requires someone who is extremely meticulous, thoughtful and thorough - following through tasks to the finish. It requires excellent attention to detail and the ability to work autonomously. The successful candidate will have excellent people skills and an ability to communicate clearly face to face, over the telephone and via email with patients, colleagues and other health professionals.

Training in medical terminology and Practice IT systems will be provided. Previous hospitality or customer service experience is essential for this role. Obviously clinical skills obtained via Nursing or other Allied Health roles would be an advantage as would previous experience in a similar role.

An ability to type with reasonable speed and accuracy would certainly help. Basic numeracy is clearly important in a business setting. A calm disposition under pressure is key to being able to cope with the role and teamwork is essential.

This is a very busy role which requires a lot of patience, flexibility and the ability to multitask continuously throughout the day.

Naturally, the practice looks for those who aspire to excel at their work while maintaining a collaborative approach tempered by a sense of humour.

Please include a cover letter with your application. Salary advertised is a guide and is dependent on level of experience.
