Description

This position is an integral part of the overall operation of a Plastic and Reconstructive Surgery office. The Medical Secretary is responsible for all formal interactions with patients and the overall success of the relationship between the office and the patient. This is a frontline position requiring a good working knowledge of customer service. One must be willing and able to adapt to the changing need of a multi-service office. The primary role is creating an excellent patient service experience. Other responsibilities include administration support, fielding patient calls and coordination with senior management and doctors.

Specific duties and are not limited to:

  • Handle administrative duties with efficiency and accuracy
  • Answer the phone and schedule appointments for multiple providers
  • Update, file and maintain patients’ medical records
  • Register new patients and update existing patient demographics
  • Facilitate patient flow by notifying staff of patient’s arrival or delay
  • Respond to patients, prospective patients, and visitor inquiries in a courteous and professional manner
  • Keep medical office supplies adequately stocked
  • Maintain cleanliness of reception area, waiting room and exam rooms
  • Participate in staff and educational meetings

Experience and Education Required:

  • High School diploma or College Diploma
  • 2 years experience as a receptionist
  • Prior experience in a medical office will be an asset
  • Experience or Medical terminology would be considered an asset
  • Proficiency with the Microsoft Suite (Word, Excel, Outlook)
  • Strong typing skills
  • Knowledge of EMR would be an asset
