Most Critical Outcome (MCO) Medical records requests are processed accurately and followed up consistently with minimal rework, delays, or escalation. The requirements below represent the knowledge, skills, and abilities required. Requirements ESSENTIAL RESPONSIBILITIES Medical Records Retrieval & Processing (All Levels) Submit, track, and follow up on medical records requests, including medical, billing, radiology, and related documentation. Communicate with medical providers, custodians, and vendors to obtain records within established timelines. Document all requests, communications, and received records accurately in the case management system. Route received records promptly and ensure visibility for downstream teams. Quality, Risk Awareness & Compliance (All Levels) Review incoming medical records for completeness, accuracy, and basic admissibility standards. Identify missing information, inconsistencies, or documentation gaps and take corrective action or escalate as appropriate. Identify and flag potential lien indicators found within medical records and ensure proper notation and timely handoff to the Lien Team. Handle protected health information in compliance with HIPAA, confidentiality requirements, and firm policies. Maintain organized, accurate, and audit-ready records documentation. Collaboration & Escalation (All Levels) Communicate status updates, delays, or issues to the Medical Records Team Lead. Escalate questions, risks, or delays promptly when issues fall outside assigned scope or authority. Support team execution through reliability, organization, and professionalism. QUALIFICATIONS & PROFICIENCIES 1+ years of experience in medical records retrieval or records operations in a regulated environment preferred Demonstrated ability to work in a task-driven, deadline-sensitive setting with accuracy and follow-through Strong organizational and prioritization skills with attention to detail Familiarity with HIPAA requirements and confidentiality standards for protected health information Ability to manage an assigned caseload while maintaining quality and documentation standards Proficiency with case management systems, records tracking tools, and standard office software Alignment with McCraw Law Group’s Core Values (HECTOR) Commitment to maintaining a professional, respectful work environment, including adherence to the firm’s Zero Tolerance policy regarding gossip, drama, or behavior that negatively impacts morale
