Requirements Summary Objective:. The Medical Records Specialist is responsible for overall maintenance of patient’s charts and medical records. Essential Functions and Responsibilities: Issue medical files to persons and agencies according to laws and regulations. Help with departmental audits and investigations. Distribute medical charts to the appropriate departments. Manages patient charts by auditing, correcting and communicating any discrepancies and inaccuracies to the appropriate staff. Maintain quality and accurate records by following facility procedures. Ensure patient charts, paperwork and reports are completed in an accurate and timely manner. Make sure all medical records are protected and kept confidential. File all patients' medical records and information. Complete clerical duties including answering phones in a cheerful and professional manner. Other duties as assigned by manager and designee Supervisory Responsibility: Position reports to Referral Manager or designee No direct reports Working Conditions and Environmental/Physical Demands: Sedentary work that primarily involves sitting/standing. Moving about to accomplish tasks or moving from one worksite to another. Light work that includes moving objects up to 20 pounds. Communicating with others to exchange information. Repeating motions that may include the wrists, hands and/or fingers. Operating motor vehicle. No adverse environmental conditions expected. Position/Type/ Expected Hours of Work: This is a full-time position and core hours of work and days are Monday through Friday 8:00 a.m. to 5:00 p.m. Potential for evening and weekend hours as required. Travel: Travel may be required to support the need to attend business meetings and/or training. Qualifications: High school graduate or equivalent Prior experience working in a medical office setting. Prior medical records management experience – preferred Skills and Abilities: Attention to detail and accuracy Able to set and change priorities as needed Ability to both stand and sit for periods of time Good computer skills Ability to travel to area offices to perform HIM tasks as needed Understanding of HIPAA requirements and ability to comply
