Summary This position is responsible for maintaining patient records, responds to all requests for medical records and is responsible for performing specialized duties such as responding to subpoenas for records, team lead or technical lead. Essential Duties and Responsibilities include the following. Other duties may be assigned as needed. • Team or technical lead of the Medical Records department. • Receive and process subpoenas that are requesting copies of patient records. • Assembles patient’s radiology reports and records for delivery. • Check to make sure that the documents are complete and correctly attached and sent to the proper referring or ordering physician. • Prepares documents for patient pick-up at our locations or for delivery to referring physician offices. • Seeks resolution for problems such as searching for missing x-rays/images, CDs and files. • Takes incoming calls and requests via phone for processing. • Function in a team environment and assist other team members when needed. • All other duties as assigned Education / Experience / Knowledge • High school graduate or GED preferred. • Minimum of one-year work experience, preferably in a medical office or hospital setting. • Knowledge of medical terminology desirable. • 1-year work experience, preferably in a medical office setting. • Previous experience in leading a team. • Must have great computer and telephone skills and etiquette. • Knowledge of legal subpoenas. • Knowledge of radiology filing system. • Knowledge of customer service concepts and clinic policies including safety, privacy, security and HIPAA regulations. Skills / Abilities • Skill in answering the telephone in a pleasant and helpful manner and using a multi-line telephone system. • Skill in leading a team/department. • Skill in using computer and medical records software. • Skill in completing job in a timely manner. • Ability to communicate clearly in person and over the phone to establish/maintain cooperative relationships with patients, families, physicians and other staff members. • Ability to read, understand, and follow oral and written instructions. • Ability to analyze medical records for completeness and accuracy, paying attention to detail. • Ability to multi-task.
