SKILLS/QUALIFICATIONS

Reference verification’s must be favorable in all significant categories of character and performance. Ability to work with independence, flexibility, good judgment, verbal communication, creating a safe environment, positive customer relationships. Ability to engage and embrace culture change and communicate additional education/training needs timely to Supervisor. Ability to use a computer to perform word processing, excel spreadsheets, and medical records system. Medical terminology and previous experience in a medical records/health information management.

EDUCATION/REQUIREMENT

High school diploma required. Medical terminology course preferred.
Must be a graduate of a state-approved CNA program and on the Maine CNA Registry.

Responsibilities

PURPOSE OF POSITION

This position assures the maintenance of system accurate medical record keeping utilizing the accepted standards of Healthcare. This position oversees the medical record functions of all out-patient therapy patients as well. ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES

  • Maintains a working knowledge of State regulations within the scope of Medical Records.
  • Keeps a supply of new charts ready for admissions.
  • Audits charts for all admissions, transfers, deaths of residents, monitor completeness and file accordingly to protocol; discharge charts in paper form as well as the EMR.
  • Thin medical records periodically as instructed- at least quarterly.
  • File all purged medical records per policy of FA- ten years.
  • All medical record filing .
  • Work collaboratively with business office manager to complete internal daily census
  • Communicate frequently with Clinical Coordinators and Director of Nursing, concerning accuracy of data input information.
  • Answering the telephone.
  • Ordering office supplies as necessary.
  • Orienting new clinical staff to Moodle (Online ECS training)
  • Promotes and maintains positive relationships with peers and Residents and works collaboratively with all departments.
  • Complete medical records requests according to policy.
  • Enter resident demographics in ECS and utilize health info net as needed to obtain resident medical information.
  • Oversee out-patient therapy services to ensure appropriate insurance verification and processes take place according to First Atlantic policies and procedures.
  • Replenish clinical documents at the nurses’ stations.
  • Complete consistent assignment spreadsheet via advancing excellence monthly, report results to Administrator for dashboard.
  • Assist in the triple check process, preparing UB04’s and demographic information for review to the clinical team monthly.
  • Assist in obtaining physician certifications as well as tracking compliance.
  • Complete medical records audits per the request of DON and/or CCC.
