Kingswood Surgery is seeking a Medical Secretary to join our dedicated secretary team. In this role, you will provide essential administrative support, facilitating communication between patients, clinicians, and third-party organisations. Your contributions will be vital in ensuring the smooth operation of our practice and enhancing the overall patient experience.

SKILLS AND QUALIFICATIONS:

  • Proven experience as a medical secretary or in a similar administrative role within a healthcare setting.
  • Excellent organisational and multitasking skills.
  • Strong communication skills, both written and verbal.
  • Proficient in using medical software and MS Office Suite.
  • Ability to maintain confidentiality and adhere to data protection regulations.

Responsibilities

KEY RESPONSIBILITIES:

  • Email Management: Handle the Kingswood K82022 emails daily, ensuring timely forwarding to the appropriate personnel and responding to queries as needed.
  • Docman Management: Address requests from clinicians, including organising referrals, medication queries, Shared Care Agreements, and sending reports/summaries.
  • E-Referrals Coordination: Organise and submit referrals to the appropriate specialties using the ERS system, ensuring all necessary attachments are included within specified timeframes (Routine, Urgent, 2WW).
  • Referral Worklists Maintenance: Keep referral worklists updated, including rejected referrals, Advice and Guidance responses, and requests for additional information.
  • Minute Taking: Record minutes during meetings in the absence of the Lead Secretary (e.g., during annual leave).
  • Dictation Completion: Timely completion of dictation requests from clinicians.
  • Patient Notes Management: Maintain the task list and respond to requests related to referrals and queries.
  • Telephone Queries: Address phone inquiries from patients and medical professionals professionally.
  • Administrative Support: Assist with any other administrative tasks as requested by clinicians, management, or the Lead Secretary.
