ABOUT US

Our Surgical practice is looking for a compassionate, detail-oriented, and experienced medical secretary to join our team. We pride ourselves on delivering a supportive and empathetic patient journey, ensuring our patients are cared for with the utmost professionalism and attention. We are a practice of a Physician and their PA, and our Surgeon and their PA (this role).

  • Excellent Communication Skills with a Positive Mindset: You will be the face of our practice, interacting with patients and healthcare professionals both in person and via phone, maintaining professionalism and warmth in every interaction.
  • Attention to Detail & Organisational Skills: You will pride yourself on your ability to manage multiple tasks simultaneously, ensuring accuracy and efficiency in everything you do.
  • Team Player with Independence: While you can work independently, you also enjoy being part of a small, cohesive team and contributing to the overall success of the practice.
  • IT Proficiency: You are comfortable using medical software (such as Gentu, or similar) and have great troubleshooting skills. Experience with theatre bookings, surgical billing, and quoting (preferably with Eclipse) is an advantage.

    Days:
    All weeks - Monday 11:00am till 2:30pm – working on site
    Week 1 & 3 – Tuesday 9:00am – 12:00pm – working on site
    All weeks – Wednesday 9:00am till 5:00pm – working on site
    Week 2 – Thursday 9:00am till 12:00pm – working on site
    Week 4 – Thursday 9:00am till 12:00pm (on site - Angaston – once a month)
    All weeks – Friday 9:00am till 5:00pm – working on site
    Please note, the hourly rate for the successful candidate will be contingent upon factors such as relevant experience, required upskilling and any necessary training. The listed rate is intended as a general guide and may be adjusted in accordance with these criteria.

Responsibilities
  • Setting up and managing the consulting rooms and sessions, ensuring a welcoming environment for patients
  • Answering phone calls and managing patient inquiries in an efficient, friendly, and courteous manner
  • Scheduling appointments and managing the practice’s calendar
  • Uploading referrals, taking payments, and assisting with reception duties along with scanning, filing, and other general administrative duties
  • Assisting with theatre bookings, theatre billing, and payment processing.
  • Providing general administrative support to the Surgeon including Personal Assistant ad-hoc duties.
  • Maintaining the privacy and confidentiality of medical files and office records at all times
  • Ability to cover leave (with notice) for our other PA/Medical Secretary.
