Description The Medical Secretary provides front-line administrative support to ensure efficient operations and excellent client service at Rochester Hearing & Speech Center. This role manages scheduling, insurance verification, payments, and client communication while supporting overall office functions. Primary Responsibilities Strong multitasking skills are essential, as this role requires managing multiple responsibilities simultaneously for approximately 90% of the workday. High adaptability is required, with the ability to adjust quickly to shifting priorities and evolving business needs in a fast-paced environment. Greet clients upon arrival and provide professional, courteous, and respectful service, including the ability to manage difficult or sensitive situations calmly and effectively. Occasional travel between office locations may be required for coverage needs, including travel between sites within the same day. Reliable transportation a must. • Answer multi-line phones, schedule appointments, and manage the EMR system • Collect payments and reconcile daily balances • Call clients to confirm upcoming appointments • Verify patient insurance coverage and benefits • Handle mail, faxes, scans, and emails accurately and efficiently • Process and sort office deliveries • Seek clarification when needed and proactively ask questions to ensure accuracy • Effectively manage multiple tasks in a fast-paced environment Requirements Qualifications & Skills • High School diploma or GED required • Previous experience in customer service within a medical office required • Familiarity with EMR systems and medical scheduling strongly preferred • Strong communication and interpersonal skills • Ability to multitask, prioritize, and maintain attention to detail • Professional, reliable, and team-oriented Work Environment • Office-based role with frequent interaction with clients, staff, and external contacts • Requires use of computers, telephones, scanners, and other office equipment • Occasional need to travel amongst offices for coverage as needed, sometimes within the same day.
