This is a remote position. Job Description Virtual Rockstar is hiring a Medical Virtual Assistant on behalf of a US-based physical therapy practice. The Medical Virtual Assistant will play a key role in supporting front desk and insurance workflows by handling phone calls, patient intake, scheduling, and insurance authorizations. This role is designed to provide consistent coverage during understaffed hours, reduce administrative strain on the clinic team, and ensure patients receive a high-quality, professional experience at every touchpoint. Responsibilities Phone & Patient Communication Answer inbound phone calls during designated coverage hours Field patient inquiries via phone and email with professionalism and empathy Confirm patient appointments and assist with rescheduling when needed Ensure patients feel valued and supported in every interaction Maintain patient privacy and HIPAA compliance at all times Scheduling & Front Desk Support Assist with patient intake and appointment scheduling Manage and update patient appointment calendars Coordinate with in-clinic staff to support daily schedules Maintain accurate patient records in the EMR Insurance Authorizations (Primary Focus) Manage and submit insurance authorizations for the entire practice Track and follow up on pending authorizations Verify patient insurance coverage as needed Liaise with insurance providers to clarify coverage and authorization requirements Update patient files with accurate insurance and authorization information Explain insurance benefits to patients in a clear, patient-friendly manner Patient Support & Follow-Up Respond to common patient questions and FAQs Follow up with patients post-visit as directed Support referral coordination when applicable Tools & Systems Used Prompt EMR CardPointe (POS) Google Workspace (Email & Cloud) Phone systems and internal communication tools Requirements Prior experience as a Medical Virtual Assistant, medical receptionist, or insurance coordinator Hands-on experience with insurance authorizations (non-negotiable) Strong phone presence with clear, pleasant, and professional English Excellent customer service and patient communication skills Highly organized, detail-oriented, and reliable Comfortable working independently while collaborating with a US-based team Ability to work evening phone coverage hours as required Experience in physical therapy or outpatient healthcare is a plus Benefits Competitive salary commensurate with experience Opportunities for professional development and growth Work in a dynamic and supportive team environment Make a meaningful impact by helping to build and strengthen families across the globe
