This is a remote position. Virtual Rockstar is hiring a Medical Virtual Assistant on behalf of a US-based primary care medical practice. The Medical Virtual Assistant will primarily support the clinic with prior authorizations and referrals, helping reduce the workload of the in-house team while ensuring patients receive timely, accurate care coordination. This role is ideal for someone with strong experience in insurance processes who is efficient, friendly, and detail-oriented. About Our Client Our client is a locally and veteran-owned medical practice offering both walk-in and primary care services. They value teamwork, efficiency, and excellent patient experience, and they are looking for a Virtual Assistant who will integrate seamlessly into their team and work closely with their in-house prior authorization and referral coordinator. Responsibilities Prior Authorizations & Referrals (Primary Focus) Process and submit prior authorizations for primary care services Manage and track patient referrals to specialists and other providers Coordinate closely with the in-house authorization/referral coordinator Follow up on pending authorizations and referrals to ensure timely completion Maintain accurate documentation in the EMR Insurance & Administrative Support Verify patient insurance coverage as needed Update patient records with insurance and authorization information Liaise with insurance companies to clarify coverage requirements Assist patients with insurance-related questions when appropriate Patient Communication & Coordination Respond to patient inquiries via phone or email related to authorizations and referrals Provide friendly, professional communication with a strong customer-service mindset Ensure HIPAA compliance and patient confidentiality at all times Tools & Systems Used eClinicalWorks (required) TriZetto Availity Parachute Email and internal communication tools Requirements Prior experience as a Medical Virtual Assistant, medical receptionist, or insurance coordinator Hands-on experience with eClinicalWorks, prior authorizations, and referrals (non-negotiable) Strong knowledge of insurance workflows and payer portals HIPAA-compliant with a clear understanding of patient confidentiality Fluent in English with excellent written and verbal communication skills Friendly, patient-focused, and professional demeanor Highly efficient, organized, and detail-oriented Ability to work collaboratively with an in-house US-based team Benefits Competitive salary commensurate with experience Opportunities for professional development and growth Work in a dynamic and supportive team environment Make a meaningful impact by helping to build and strengthen families across the globe
