SUMMARY

Meetings and Events youth apprentices plan, promote, and service meetings, events, conferences, and conventions. Youth apprentices work with planning budgets and goals, workflow management, vendor relationships, room layouts and seating formats, food and beverage, entertainment, technology, and audio-visual equipment. Youth apprentices also assist with ensuring that a meeting or event is run safely, efficiently, and profitably.

PHYSICAL REQUIREMENTS

Shall complete a physical examination as required by Wisconsin Statute 118.25.

Physical Requirements

  • Ability to operate a variety of office equipment including computer, typewriter, photocopier, calculator, fax machine, telephone switchboard, etc.
  • Must demonstrate proficiency through Skill Check testing (typing speed and accuracy, grammar, proof-reading and MS Office word processing)
  • Must have current physical on file with the District Office certifying applicant is able to meet all job qualifications
  • Ability to lift and/or move up to 30 pounds
  • While performing the duties of this job, the employee is regularly required to sit and talk or hear and occasionally required to stand; walk; and reach with hands and arms
  • Specific vision abilities required by this job include close vision and distance visio

Responsibilities

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Assess training partner/facilitator objectives and requirements for meetings/conferences
  • Connect with food vendors to coordinate meals when events are catered
  • Monitor Google Calendar and Forms to maintain a minimum of two week advance planning for upcoming events
  • Set up for Meeting/Event by completing all necessary tasks (ie. room set up, heating/cooling, door functions, print event rosters, catering when applicable, etc.)
  • Set up Audio-Visual Technology for Event
  • Facilitate set up and tear down of food when an event is catered (ie. setting up tables for food lines, greeting caterers, using large trash receptacles, notifying custodians that food trash will be created, etc.)
  • Provide food service if snacks/coffee is requested for an event
  • Prepare, provide and restock beverages if requested for an event
  • Coordinate with Adult Transition Program to inform of daily and weekly job opportunities (ie. table cleaning, table arrangement, battery recharging, whiteboard cleaning, etc.)
  • Greet guests at the Welcome Center and provide answers to general questions from participants and facilitators.
  • After an event, remove any items from tables if Adult Transition Program students are not available.
  • After an event, coordinate with custodial staff to plan for a room needing deeper cleaning prior to or after an event.
  • During an event, provide customer service to the facilitator(s)/training partner(s) of the event. Create a Google Form to send to the facilitator(s)/training partner(s) after the event to get feedback on services.
  • Collaborate with Professional Learning Center Administrative Assistant to ensure payment to vendor/training partner and/or caterer is completed.

  • Ability to prepare a variety of documents including class lists, student and ethnic counts, first aid log, attendance records, hot lunch reports, cook counts, enrollment reports, telephone log, etc. using prescribed format and conforming to all rules of punctuation, grammar, diction and style
  • Ability to provide excellent customer service to a variety of audiences while responding to requests for information, explain procedures and follow instructions
  • Ability to communicate effectively with teachers, students, parents, administrators, sales representatives, delivery persons, police officers, School Board members, nurses, the general public, and others verbally and in writing
  • Ability to work independently and with interruptions in an organized manner and prioritize tasks to ensure completion of all job responsibilities within designated deadlines
  • Ability to maintain confidentiality and problem solve
  • Works cooperatively in a team environment and can manage and delegate as needed
  • Knowledgeable of all district, federal and state policies and procedures as required
