Te whiwhinga mahi | The opportunity Beca’s Corporate Services Team provides a range of front-line, coordination and facilities management services to ensure our business functions seamlessly and effectively. Representing our values of Partnership, Tenacity, Enjoyment and Care, our Events Coordinator works closely with Receptionists, Facilities Coordinators and Administrators across the business, playing a key role in the coordination of internal and external events, ensuring rooms, equipment, catering and unique requirements are in place and ‘fit for purpose’. This is a permanent full-time position based in our Auckland office where you’ll contribute to awesome events and being part of what makes Beca special. With a team approach, responsibilities will include: Support and coordinate day‑to‑day meeting room operations, ensuring rooms are well‑presented, suitably configured, and ready for meetings and events. Coordinate meeting room and event setups, including furniture, AV, technology, and accessibility requirements, working with Facilities and IT as needed. Support meeting room bookings and event overlays, helping ensure smooth transitions between standard meetings and internal or external events. Support the end‑to‑end delivery of in‑house events, including planning, logistics, on‑the‑day support, and post‑event review. Work in partnership with the Events and Partnerships Manager to support the coordination of internal and external events and deliver high‑quality outcomes. Liaise with internal stakeholders, clients, and suppliers to confirm requirements and assist with smooth meeting and event delivery. Coordinate catering and hospitality services for meetings and events, with attention to quality, inclusivity, sustainability, and cost control, and support oversight of the servery kitchen. Provide a customer‑focused support service, balancing multiple priorities and providing occasional before‑ and after‑hours assistance in line with Beca’s values. You enjoy engaging with people and creating a welcoming experience for both internal and external event participants. Confident with the Microsoft Office suite, you’re keen to learn new technologies and support others to deliver successful events. You bring a positive, flexible, can-do attitude, adapt easily to changing priorities, and thrive as a collaborative team player who’s curious and eager to contribute.
