JOB SUMMARY

The Meeting and Events Project Manager, reporting to the Meetings & Events Director, will lead project management efforts to ensure timely milestone planning and successful delivery. This role involves participating in contract negotiations, managing vendor relationships, and continuously advancing knowledge and skills. The ideal candidate will have 3 years of related experience and the ability to assess client needs and provide effective solutions.

The successful candidate will possess the following qualifications:

  • Education: College diploma or university degree in a related field.
  • Experience: Minimum of 3 years of experience in event planning or project management, preferably in the veterinary, medical, or related sectors.
  • Project Management Expertise: Strong knowledge of project management principles, methodologies, and best practices, with the ability to apply them effectively in client-facing environments.
  • Client-Centric Approach: Ability to proactively assess client needs, offering tailored solutions and problem-solving recommendations that drive project success.
  • Communication Skills: Exceptional verbal and written communication abilities, with a focus on clarity, professionalism, and client satisfaction.
  • Time Management & Organization: Demonstrated ability to manage multiple priorities, meet deadlines, and handle conflicting demands in a fast-paced environment.
  • Teamwork & Independence: Ability to work autonomously and collaboratively within a team, contributing to a positive and productive workplace culture.
  • Software Proficiency: Experience with project management software and tools, advanced skills with Microsoft suite (Excel, Word, PPT)

Responsibilities

JOB RESPONSIBILITIES:

  • Client Solution Management: Lead and execute custom client solutions, including innovative meeting/event planning, speaker bureau coordination, and other tailored services, ensuring alignment with client objectives.
  • Project Oversight: Oversee all phases of project delivery, from kick-off through to close, ensuring adherence to timelines, budget, and quality standards. Manage key milestones and deliverables efficiently.
  • Budget and Financial Oversight: Reconcile project budgets and expenses. Provide proactive recommendations for reallocation and collaborate with management to ensure financial efficiency throughout the project lifecycle.
  • Team Collaboration & Leadership: Foster a collaborative environment and promote a positive, results-oriented team culture. Ensure effective decision-making across the team and maintain strong, supportive working relationships.
  • Travel & Logistics Management: Coordinate and arrange travel logistics, including schedules, bookings, and reservations for event participants, presenters, and attendees.
  • Documentation & Reporting: Prepare, review, and distribute various project-related materials, including invoices, presentations, reports, and correspondence.
