Description Under the supervision of the Membership Director, the Membership Coordinator delivers excellent service to all members, program participants, donors, volunteers, and guests of the Gallatin Valley YMCA. Responds to members' and guests' needs, promotes memberships and programs, and maintains the facility's cleanliness and organization of systems. The Membership Coordinator is a great communicator, enthusiastic, interested in sales, and committed to the mission and cause of the YMCA. The Membership Coordinator will be expected to work 30-40 hours per week at the front desk and retain 10-15 hours per week for Administrative duties. Shift hours may vary and include weekdays, evenings, and weekends. ESSENTIAL FUNCTIONS: Member & Community Services: Builds relationships with members; greet members by name and help members connect with one another and to the YMCA. Responsible for member, guest, and participant satisfaction and retention through impeccable member service and practices that promote member engagement. Provides membership orientation and facility tours as needed, explains the YMCA mission, volunteer opportunities, and if interested how to apply for financial assistance. Strong sales, interpersonal and communication skills over the phone, through email, and in person. Assist and be very knowledgeable with program and member registration. Follow proper check-in procedures for members, guests, day passes, and Nationwide Memberships to ensure that our facility is safe. Handle and resolve membership concerns in a timely and professional manner. Inform supervisor of unusual situations or unresolved issues. Process Membership cancelations and freezes and maintain accurate records Report Insurance memberships Work with all other Gallatin Valley YMCA departments to provide the best overall experience for members and the community. Creatively promote YMCA specific programs and activities. Janitorial Coordination & Supply Management: Oversee janitorial duties for the Membership Department; monitor, order, receive, and restock cleaning supplies; maintain an organized and well-stocked janitorial closet. Maintain cleanliness of the welcome area, lobby, bathrooms, and locker rooms during shift. May include shoveling snow, mopping, disenfecting areas and more. Membership Desk Coordination: Oversee Membership Desk operations Serving as the main point of contact for staff Providing coverage for open shifts or coordinate suitable replacements as needed. Professional Standards & Participation Meets the standard for attendance, punctuality and dependability Participates in required department, staff and YMCA committee meetings and assists in YMCA fundraising activities and special events. Follows YMCA policies and procedures; responds to emergency situations. Requirements QUALIFICATIONS: High school diploma and/or equivalent relevant work experience preferred CPR/AED, and First Aid Certification (within 30 days of hire) Excellent interpersonal, sales and communications skills both verbal and written required Exercise good judgment in decision making for situations even when stressful Ability to connect and build genuine relationships with people of diverse backgrounds from all social and economic segments of the community Attention to detail with the ability to multi-task while maintaining excellent customer service Must be accurate in cash handling and able to maintain member confidentiality Uses best practices and demonstrates up-to-date knowledge and skills in technology PHYSICAL REQUIREMENTS: Ability to take potential members on tours throughout the entire facility, must have the physical ability to act swiftly in an emergency, position will include walking, standing, bending, kneeling, and lifting.
