Description Title: Membership Engagement Coordinator Department: Advancement Supervisor: Manager of Membership and Annual Fund Supervises: N/A FLSA Salary Classification: Non-Exempt Revision Update: March 2026 Availability: Position requires occasional extended work hours, including evenings and weekends. Position is part time and allows for a flexible scheule Position Summary: The Membership Engagement Coordinator supports the growth, retention, and overall experience of the Garden membership program through customer service, administrative operations, member events, and member communications. This position serves as a point of contact for membership-related inquiries. Key responsibilities include processing membership transactions, sending member communications, and planning member-exclusive events. The role also assists with cross-department collaboration to strengthen the member experience and support the Huntsville Botanical Garden Advancement Team’s goals. Essential Functions: Provides timely membership customer service and communications within 1 business day. Processes membership transactions in a timely manner. Maintains accurate membership records in the Garden’s CRM. Supports the member communication plan, including renewals, benefits, membership cards, and event messaging. Assists with membership recruitment, retention, and engagement efforts. Prepares membership deposits and reconciles information to the Garden’s financial records. Coordinates the planning and execution of member-exclusive events throughout the year. Orchestrates monthly membership mailings, including scheduling volunteers, preparing materials, and ordering supplies, Assists with membership promotion and outreach at Garden and community events. Performs all other administrative processes associated with membership as well as other duties as assigned. Requirements Minimum Qualifications: High school diploma/GED and at least 2 years’ experience in customer service, administrative support, or a related field or an equivalent combination thereof. Proficiency in Microsoft 365 applications Success Factors: Strong customer service and interpersonal skills. Demonstrates the knowledge and skills needed to support membership operations, customer service, and member engagement, with a strong understanding of the Garden’s mission, programs, and member experience. Exemplifies the Gardens Core Values and has a true desire to embrace the Garden’s mission of plant conservation, education, and research. Ability to collaborate with other Garden departments. Strong written and verbal communication skills. Communicates effectively, stays organized, pays close attention to detail, and responds accurately to member needs. Manages multiple priorities, works well with others, and represents the Garden in a professional and welcoming manner. Ability to adapt to changing technology and systems Preferred Qualifications: Experience with Blackbaud Altru or a similar database management system Experience with event planning and coordination Physical Demands and Work Environment: The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical Demands: Requires occasional physical activity with limited lifting and carrying (up to 15 lbs.), and frequent periods of sitting. Frequent communication with members through digital, phone and live interactions. Work Environment: Work is primarily performed in an office setting. At times, duties require working outdoors in all weather conditions and traversing varied, uneven terrain throughout the Garden. Equipment: General office equipment.
