MAIN FUNCTIONS

We are seeking a highly skilled and proactive Microsoft 365 Administrator to manage and support our company’s Microsoft 365 environment. This role is critical in ensuring the stability, security, and efficiency of our Microsoft 365 services, including Exchange Online, SharePoint Online, OneDrive, Teams, and the underlying Entra ID (Azure AD) identity platform. You will work closely with various IT teams (security, infrastructure, support) and business units to enable collaboration and productivity while maintaining governance and compliance.

TECHNICAL SKILLS

Required

  • Microsoft 365 Administration: Proven experience administrating core M365 services – Exchange On Prem and Online, SharePoint/OneDrive, Teams, and Office apps. Solid understanding of how to configure and secure each service.
  • Azure AD (Entra ID): Strong hands-on knowledge of Azure Active Directory – user and group management, application enterprise registrations for SSO, Conditional Access setup, and MFA enforcement. Experience with identity synchronization (Azure AD Connect) and basic Azure AD PowerShell/cmdlets.
  • Security & Compliance: Familiarity with M365 security centers and compliance centers. Ability to configure and manage DLP policies, retention rules, eDiscovery cases, and view audit logs. Knowledge of Microsoft Defender for Office 365 threat protection and security alert handling.
  • PowerShell Scripting: Proficiency in PowerShell for Microsoft 365 administration tasks 14. Able to write, customize, and execute scripts to automate tasks (user license assignments, bulk mailbox changes, report generation, etc.). Bonus if experienced with utilizing the Microsoft Graph API for advanced automation and data queries.
  • Migration Tools: Experience with Microsoft 365 migration and integration tools and methods. For example, familiarity with Exchange Online migration methods (cutover/staged/hybrid), SharePoint Migration Tool, or third-party migration solutions (Quest, Sharegate, MigWiz). Understanding the best practices for tenant-to-tenant migration is a plus.
  • Troubleshooting Utilities: Skilled in using diagnostic tools and logs to troubleshoot issues (e.g., Message Trace in Exchange, network connectivity analyzers for M365, Microsoft Support and Recovery Assistant, etc.). Ability to analyze PowerShell error output or correlation IDs to pinpoint problems.
  • General IT Infrastructure: Good grasp of related infrastructure – Windows Server, DNS, networking basics, how email flow and authentication work – as these often intersect with M365 administration. Understanding of how services like Active Directory (on-prem) link to Azure AD, and how Certificates or network changes might affect M365 services.
  • Additional Tools: Familiarity with Microsoft Teams admin center, SharePoint admin center, Exchange Admin Center, Teams Phone System configuration, and Intune (endpoint manager) basics to support device access to M365. Experience with monitoring tools or dashboards for Microsoft 365 usage and performance would be beneficial.
  • Office Apps Support: Knowledge of the Office suite (Office 365 Apps) deployment and issues, to support users or deploy Office updates (e.g., via Intune or SCCM).
  • Scripting/Programming: Apart from PowerShell, any experience with scripting or lightweight programming (Python, etc.) for data processing, or using APIs for automation, is an asset as it shows ability to extend capabilities of the role
  • AI and Emerging Tools: Familiarity with AI-driven features in Microsoft 365, such as the new Microsoft 365 Copilot and related AI services, and the ability to manage and leverage these too. The ideal candidate is comfortable using AI assistants (for example, utilizing Copilot in the admin center to quickly gather insights or generate reports) and stay updated on Microsoft’s AI roadmap to adopt beneficial features early. This includes understanding how to configure AI features in line with organizational policies and monitor their usage to ensure they deliver value responsibly.
  • Education: Bachelor’s degree in computer science, Information Technology, or a related field; or equivalent professional experience.
  • Experience: 3–5 years of hands-on experience administering Microsoft 365 (Office 365) or similar cloud collaboration platforms in a business environment. Prior experience in IT infrastructure or systems administration is advantageous to provide a strong foundation.

An asset

  • Certifications: Microsoft certifications such as Microsoft 365 Certified: Administrator Expert (or exams MS-102 / MS-100 & MS-101) are highly preferred, as are relevant certifications like Azure Administrator Associate or Teams Administrator Associate. Certifications demonstrate a validated level of expertise and up-to-date knowledge.

Responsibilities
  • Administer and monitor the M365 tenant – Oversee day-to-day administration of Microsoft 365 services (Exchange, SharePoint, OneDrive, Teams, etc.), manage tenant settings, and regularly review the Microsoft 365 Admin Message Center for upcoming changes or incidents. Ensure proactive application of updates and minimal disruption from new feature rollouts following our Change Management Processes.
  • User and License Management – Create, manage, and deprovision user and service accounts in Microsoft Entra ID. Maintain user licenses and roles, and organize users into appropriate groups/distribution lists for efficient permission management 3. Ensure leavers are offboarded promptly (licenses reclaimed, data preserved) and joiners are onboarded with correct access.
  • Identity Security and SSO – Implement and enforce identity security measures. This includes managing Multi-Factor Authentication (MFA) for all users and configuring Conditional Access policies to protect corporate data (e.g., require compliant devices, geolocation restrictions). Oversee Single Sign-On integration for approved third-party enterprise applications, leveraging Entra ID SSO so that new tools adopted by the company use secure centralized authentication.
  • Exchange Online Administration – Manage Exchange Online, including mailboxes, distribution groups, email retention policies, and threat protection (anti-phishing, anti-spam) settings. Troubleshoot mail flow issues and coordinate with Microsoft support for complex email service problems as needed.
  • SharePoint Online and OneDrive Management – Oversee SharePoint Online sites and OneDrive for Business settings. Monitor storage usage and allocate space or procure additional capacity when necessary. Implement governance for SharePoint (site provisioning processes, external sharing policies) to ensure proper usage and security of content. Collaborate on content migrations from file servers or other cloud storage and ensure data integrity and permissions are correctly maintained.
  • Microsoft Teams Administration – Manage Teams at the tenant level, including creating and managing Teams and channels, Teams policies, meeting settings, and Teams Voice/Phone System configuration. Support adoption of Teams features (voice, meetings, collaboration) and ensure governance (e.g., manage guest access, verify external domain communications as per policy). Address escalations related to Teams performance or connectivity.
  • Integration and Migration Projects – Plan and execute migrations or integrations involving Microsoft 365. For example, lead tenant-to-tenant integration efforts during mergers & acquisitions (migrating users, mailboxes, and content), or rollout new M365 services across the organization. Coordinate with project teams to map requirements, migrate data safely, and meet project timelines.
  • Security & Compliance Management – Work with Cyber Security to configure M365 security measures: administer data loss prevention (DLP) policies, eDiscovery searches, retention labels, and compliance reviews in the Microsoft Purview compliance portal. Conduct periodic permission audits and ensure Microsoft 365 usage conforms to company policies and industry regulations 10.
  • Monitoring and Issue Resolution – Continuously monitor service health and usage analytics. Quickly troubleshoot and resolve Microsoft 365 issues – whether user-reported or system-detected. This could range from a single user’s OneDrive sync problem to organization-wide issues like SharePoint accessibility or email delivery problems. Use admin center tools, PowerShell, and Microsoft support channels to diagnose and fix issues. Provide timely communication to stakeholders about incidents and resolutions.
  • Automation and Optimization – Develop and maintain PowerShell scripts or use the Microsoft Graph API to automate repetitive admin tasks and improve efficiency (for example, bulk user updates, scheduled reports on M365 usage, automated compliance checks). Continuously look for opportunities to streamline operations, such as automating license assignment based on role or building workflows for user onboarding in M365.
  • Collaboration and Support – Work closely with the Service Desk and endpoint management teams to provide tier-2/3 support for complex Microsoft 365 issues, and to ensure endpoint policies (Intune, device configurations) align with M365 requirements (for example, approving Outlook or Teams client updates, supporting mobile device access to M365). Provide guidance and training to IT support staff on Microsoft 365 administration tools and best practices for common requests.
  • Stay Current with M365 Innovations – Keep up to date with Microsoft’s roadmap and community announcements for Microsoft 365. Evaluate preview features in a test environment (using Targeted Release where appropriate) and assess their applicability for the organization. Proactively plan for upcoming changes (such as deprecations or major UI changes) and coordinate any necessary user communication or training in advance.
