PLEASE SUBMIT YOUR RESUME IN ENGLISH The Microsoft 365 Solutions Specialist is responsible for designing, implementing, and supporting Microsoft 365 solutions that enhance collaboration, productivity, and security across the organization. This role involves managing cloud-based services such as Exchange Online, SharePoint, Teams, OneDrive, Power platform and related applications, while ensuring compliance, governance, and optimal performance. This role ensures that security best practices are embedded across all aspects of the Microsoft 365 infrastructure, applications, and services. The specialist collaborates with cross-functional teams to align strategies with business objectives and regulatory requirements. This role also manages the EDRMS (Electronic Document and Records Management System) on SharePoint ensuring that documents and records are managed efficiently and in compliance with legal and regulatory requirements. RESPONSIBILITIES More specifically, the Microsoft 365 Solutions Specialist must: Solution Design & Deployment Architect and implement Microsoft 365 solutions tailored to business needs. Integrate Microsoft 365 with other enterprise systems and applications. Redefine current architecture to be compliant with compliance and privacy standards (Law25, PIPEDA, GDPR) CoPilot deployment planning and monitoring with security/privacy implications in mind and data governance best practices. Design and implement workflows (often using Microsoft Power Automate) for document review, approval, and routing to improve business processes. Create and document SharePoint site templates with defined taxonomy. Administration & Support Manage user accounts, permissions, and licenses. Provide technical support and training to end-users on M365 software. Provide guidance, support, and training materials to staff on effective document and records management practices and system usage. Monitor system performance and troubleshoot issues promptly. Security & Compliance Implement and maintain security policies, compliance standards, and governance frameworks. Configure Microsoft 365 security features (MFA, DLP, Conditional Access). Implement and enforce records management policies and procedures, including data classification, retention schedules, and disposition processes, to ensure compliance with internal guidelines and external regulations (e.g., GDPR, ISO 15489, LAW25). Manage the entire lifecycle of records from creation and active use through archival and eventual disposition, ensuring proper version control and audit trails are maintained. Conduct regular audits of the SharePoint and collaborative systems and their content to monitor compliance, data integrity, and security, and prepare reports for management. Collaboration & Innovation Drive adoption of SharePoint new practices, Power platform, and OneDrive for business collaboration. Develop and deliver training programs, create documentation, and provide support to help end-users adopt and effectively use M365 tools. Stay updated on new Microsoft 365 features and best practices. Migration & Integration Lead or assist in migration projects (e.g., file storage, domain change or M&As). Ensure smooth transition from legacy systems to Microsoft 365. Documentation Create and maintain technical documentation, policies, and knowledge base articles. Employee may be assigned to other responsibilities that do not pertain to their former description, if they have the required experience, are qualified and/or have received adequate training. Requirements Education & Experience: Bachelor’s or equivalent degree in computer science, Information Security, or related field or college diploma with equivalent work experience may be considered. 5+ years of experience in Microsoft 365 services and architecture. Minimum 3 years of experience in SharePoint development, implementation, and administration, including SharePoint Online. Strong knowledge of SharePoint features, including document management, workflow automation, and collaboration tools. Proficiency in Microsoft Power Platform, and other relevant SharePoint tools. Experience in hybrid and multicloud environments is a plus. Good knowledge of good clinical practices, and applicable Health Canada and Food and Drug Administration (FDA) regulations/guidelines. Required Skills & Qualifications: Proven experience in Microsoft 365 administration and solution design. Strong knowledge of Exchange Online, SharePoint, Teams, OneDrive, Power Platform. Familiarity with PowerShell scripting for automation. Excellent problem-solving and communication skills. Strong understanding of enterprise architecture principles in M365, including architecture frameworks and governance models. Knowledge o f privacy and security best practices and related technologies, including data protection, encryption, access control, data classification, and data retention. Demonstrated understanding of modern security frameworks and principles. Ability to manage multiple priorities in a fast-paced environment. Preferred Certifications: Microsoft certifications (MS-900, MS-700, MS-102, SC-400, etc.). SharePoint certification is a strong asset.
