Main Duties

  • To represent Mitie in a proficient, professional and personal manner at all times
  • To ensure appearance is maintained to our grooming standards.
  • To attend any training sessions requested by the management team.
  • To assist all Network Rail and Mitie clients with any reasonable requests.
  • To comply with Mitie standards for absences/ sickness.
  • To work to the Mitie core values

Front of House Receptionist duties

  • Be the first point of contact at the reception desk whilst always maintaining a professional and helpful attitude.
  • Sign in visitors and issue the health and safety brief.
  • Answer the telephone in a timely manner, using the correct greeting and solving any queries.
  • Book meeting rooms for our clients.
  • Respond to the reception inbox in a timely manner.
  • Ensure client outgoing post is franked and collected; incoming post to be distributed or the recipient contacted.
  • Report building faults to Mitie Helpdesk and record on the Tracker.
  • Liaise with Mitie cleaners, security & Workplace Management colleagues to ensure the site is operating smoothly.
  • Conduct the onsite inductions, ensuring the induction forms and visitor passes are correctly processed.
  • Keep the front of house-training packs and documentation up to date.
  • Conduct weekly stock checks and order required stationary and consumables to maintain supplies.
  • Provide training for new and temporary team members.
  • Make sure the front of house is always tidy and presentable.
  • Support emergency evacuation procedures.

Coordinator duties

  • Full walk around of the building at various times of the day to report any building faults, check cleanliness of site and restock consumables
  • Check milk levels and top up where required
  • Check water bottles for dispensers and top up where required
  • Liaise and build relationships with clients on site
  • Create/replace/cancel access passes
  • Conduct inductions for new starters (as above)
  • Record keeping of car registrations & locker allocations
  • Manage any incoming deliveries for site
  • Liaise with security re visitors or specific events – use message book as necessary
  • Any other duties as may arise during the day, often as a result of a client request e.g. daily headcount

Skills and Knowledge

  • Strong communication skills (both written and verbal)
  • Be experienced with computers and software packages such as MS Office
  • To be able to work individually or within a team
  • Customer focussed and able to build relationships with our clients and the Mitie team at all levels

Education or Certification

  • 2 years reception/administration experience (desirable)
  • Hospitality-based qualification, or official training (desirable)
  • IOSH certificate or willing to undertake a course (required)
  • 1st aid qualification or willing to undertake a course (required)
