Urgent need - One of our clients, Moruzzi, is seeking a receptionist & operations support (location : Saint-Léonard, Qc) The Receptionist & Operations Support is responsible for welcoming clients and visitors, providing customer service and administrative support. The person also contributes to sample preparation, as well as receiving and shipping orders, in collaboration with the sales team and the warehouse. You will be Accountable for: 1. Reception Welcome clients and visitors with professionalism, courtesy, and according to the company’s standards (respect, cleanliness, appearance). Identify the nature and purpose of the visits and direct or accompany people to the departments or employees concerned. Answer, filter, and transfer phone calls; provide information, take messages, and schedule appointments. Provide information on the company’s products, services and activities, in person or by phone or any other means. Keep your knowledge of products, internal policies (payments, exchanges), and IT security practices up to date. Manage mail and communications: receiving, sorting, distributing, and sending (including sample preparation and packaging). 2. Customer Service Inform clients about the location of departments, employees, and services offered. Receive, analyze, and resolve customer complaints in the showroom. Collect and evaluate relevant information in order to identify the causes of complaints and inform management. Follow up with clients following inquiries or complaints. Collaborate with sellers to resolve service or billing issues (exchanges, refunds, or adjustments). Forward unresolved complaints to management for follow-up and in-depth analysis. 3. Administration et accounting support Receive payments and record receipts and related documents. Determine the fees for the requested services and invoice as needed (in case of absence or work overload). Prepare and process various administrative documents (correspondence, memos, supporting documents, internal expense accounts). Classify and keep administrative records up to date. Prepare the timecards for the plant employees. Provide general administrative support: data entry, document correction, transcription and use of computer tools. 4. Handling & Shipping Receive, prepare, and ship samples and goods. Check that the labels are project-compliant and clearly identifiable for accounting purposes. Prepare the documents related to shipments and deliveries. Ensure the quality and smooth running of shipments and receipts, while meeting deadlines. Coordinate and control deliveries with external handlers. Perform any other related tasks related to handling.
