The Move-In Coordinator is responsible for assisting all incoming residents with a smooth transition from their current residence to Ponte Palmero.  High detail orientation, clear and frequent communication with a variety of staff members, customer focused attitude and problem-solving mindset are essential to this role.  Position is responsible for ensuring all new move-in paperwork is completing in a timely manner, ensuring the new resident(s) apartment is rent ready, completing a detailed orientation of the policies, rules and regulations of living at Ponte Palmero with each new resident and following-up to ensure all questions and concerns are addressed in a prompt and timely manner.  Although this position reports to the Administrator, the Move-In Coordinator interfaces frequently with our marketing team, business office director, business office assistant and maintenance team. Reports to: Community Administrator. Pre-inspect duet/villa prior to move in, identify where additional paint/repairs are necessary. (Note: 1st walk through after maintenance has been in there).  2. Do Final “Walk Through” in unit prior to resident move-in, once maintenance communicates they have completed villa/duet. 3. Review the VCR on weekly basis for updates and changes  4. Answer resident questions and concerns regarding issues with Comcast.  Coordinate the timely correction of these issues.  In addition, ensure the proper maintenance of all Comcast equipment including batteries and other supplies associated with the equipment. 5. Make name badges for residents  6. Print and deliver “New Resident” Welcome information. 7. Pull keys and garage door openers (need more detail here) 8. Make apartment keys if needed (we need to be more specific)  9. Put together Robe, card, name badge, and Xfinity channel lineup for new move in  10. Keep Resident files in the clubhouse up to date,  11. Prepare new resident orientation packet and review with each new resident upon moving in. Answer any questions they may have concerning the mechanics of daily living at Ponte Palmero.  12. Make security folders for new residents in the AL department 13. Prepare Bereavement package for surviving spouse and/or family members/loved ones. 14. Make and post a notice of passing of residents 15. Order name tag supplies for resident name tags 16. Assemble move-in-binders and brochures for marketing and ensure current inventory is (10) or greater for all product types (IL, AL and MC). 17. Meet with new residents to fill out paperwork from the Move-in guide in the binder 18. Fax or email 602 paperwork to Physician and follow-up to ensure timely response  19. Ensure all required “New Move-In” paperwork is received by the appropriate department on a timely basis. Update all New Move-In check-off list associated with a new move-in. 20. Cover Concierge desk daily for 45 minutes to cover for lunch breaks     Minimum Age Requirement:  Must be at least 18 years of age.   Education:  High school education is required.      Experience:  Minimum of two years of experience in a related position, preferably in long term care industry, is desired. YARDI experience is desired. Mathematical  Skills:  Ability to add, subtract and multiply.  Reasoning Skills:  Understand issues and be able to process information for the purpose of giving and receiving feedback. Oral/Written  Communication Skills  Excellent communication skills, including active listening.  Ability to speak, write and read English.  Equipment Used:  Be proficient in basic office equipment (including a desktop computer) for the purpose of accomplishing and maintaining a high level of job performance.  Proficient in Office software.  Physical Effort:  Be mobile and able to perform physical requirements of the job.
