Job Description Support Associates within Department Prepare for new joiners (PC arrangement, create User ID, phone, taxi card, welcoming new staff…); Prepare for resignation associates-do exit check list; Support in welcoming guest, invitation letters, supporting accommodation, visa and travel, gift; Manage Department Employee List (Internal, external, intern) and Department Organizational chart; Support Department Head in organizing Department Events like Department meeting, Group Meeting, Workshops, department outing, Year End party…; Coordinate with other departments (HR, CTG, GS, CI…) to complete assignments; Support associates in travel arrangement; Support in expense claim form, recording and prepare monthly reporting, newsletter, year book/year end video; Manage department budget and purchasing; Manage and distribute department asset (PCs, mouse, key board, RAM, monitor), prepare monthly asset report; Purchasing office supplies as per regulation; Get Department Head’s approval for expense claim form, work on, TPS or other related paper work; Support in interview process; Manage email distribution List and Department folder right granting; Support in receiving/sending courier; Taxi management; Support associates in daily arising topics. Assist to Department Head Manage Department Head calendar and meeting schedule; Handle travel arrangement (TPS, transportation, visa, flight ticket, accommodation, and advance - reimburse, work permit, resident card…); Manage DH’s personal information; Other tasks assigned by Department Head and Group Manager. Qualifications 4th-year student at university, major in Journalism, Business Administration, Secretary, Hospitality or related fields. Can join internship for 6 months (full-time, from Monday to Friday). Good English skills (Speaking and Writing). Do Canva efficiently, have knowledge in other graphic design tools is an advantage. Good communication and interpersonal skill and teamwork. Familiar with Microsoft Office (Word, Power point, Excel…). Honest, good at logical thinking, well-organized, hard-working and responsible person. Responsibilities

The intern will support associates within the department by managing various administrative tasks, including preparing for new joiners and resignations, organizing department events, and coordinating with other departments. Additionally, the intern will assist the Department Head with calendar management and travel arrangements.
