Description
Calendar and Communication Management: Serve as the first point of contact for inbound and outbound communications, exercising discretion with sensitive information. Maintain executives' calendars, schedule meetings and conference calls, and manage meeting conflicts using Microsoft Outlook. Understand key clients and colleagues, take accurate messages, and stay informed of executives' whereabouts. Prepare, submit, and monitor expense reports, ensuring accuracy and timely submission. Manage shared sites such as Microsoft Teams and SharePoint, and support onboarding/offboarding processes. Working with portfolio company management and executive assistants to plan Board meetings, other committee meetings, and onsite meetings; ensuring optimal scheduling based on calendars of MDs involved with portfolio companies Assisting with all portfolio needs, documentation wise, distributing weekly team meeting, portfolio review materials and other pitch decks or materials related to companies Process invoices and create funding requests using internal platforms. Assist with ad hoc projects and provide backup coverage for other administrative assistants as needed. Minimum of 4 years' experience in an Executive or Administrative Assistant role, preferably within the financial services industry. Bachelors degree preferred, or equivalent corporate experience. Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Outlook. Strong communication, writing, judgment, and problem-solving skills. Ability to work independently, take initiative, use judgement, and manage multiple tasks concurrently in a fast-paced environment. Expected base pay rates for the role will be $80,000 - $100,000 per year at the commencement of employment.
