SKILLS NEEDED TO WIN:

  • Project Management Expertise: Ability to oversee multiple new clinic and administrative office setups simultaneously across various states. Must be skilled in managing timelines, budgets, and resource allocation efficiently.
  • Minimum of 3 years of experience in project management, including hands-on use of project management software to track timelines, tasks, and deliverables.
  • Experience with Construction, Design, and Site Setup: Minimum of 2 years of experience in construction, interior design, or site setup—residential or commercial. Experience overseeing build-outs, designing and furnishing new spaces, or managing site openings is highly desirable. A background in healthcare facility setup, commercial real estate, or project management in a regulated industry is a plus.
  • Strategic Planning & Execution: Set clear priorities each week for our internal team, cross-functional company team members assisting with projects, and external contractors. Ensure all stakeholders are aligned with company objectives, project deadlines, and key deliverables.
  • Follow-Up & Accountability: Monitor progress, enforce deadlines, and ensure tasks are completed by both internal teams and external contractors.
  • Multi-Site Coordination: Oversee multiple projects across different states, ensuring all priorities are managed effectively and projects are completed on time.
  • Cross-Functional Collaboration: Work closely with construction teams, vendors, healthcare providers, and administrative staff to ensure smooth project launches.
  • Problem-Solving & Adaptability: Ability to troubleshoot issues, adapt to unexpected challenges, and implement solutions to keep projects on track.
  • Excellent Communication & Leadership: Strong ability to direct teams, negotiate with vendors, and communicate project updates clearly to stakeholders.
  • Growth & Process Development: This is a newly established function within the company, and you will play a key role in creating the systems and processes needed to support our goal of opening new offices quarterly across the U.S. This role requires someone who thrives in fast-paced, unstructured environments—there is no existing playbook, and you will be responsible for figuring out what works and making it happen.
  • Hiring & Workforce Coordination: Minimum of 2 years of experience in hiring and conducting interviews, including recruiting and managing temporary workers, contractors, or project-based teams.
Responsibilities
  • Utilize Technology & Project Management Tools:
  • Proficient in Google Workspace (Google Sheets, Docs, Drive) for tracking project progress, documentation, and collaboration.
  • Experience using Monday.com (preferred) or similar project management tools to manage timelines, tasks, and team coordination.
  • Oversee all functional setup needs for new clinics and administrative offices, ensuring locations are fully operational from day one.
  • Coordinate essential infrastructure, including internet setup and other critical operational needs.
  • Manage vendor relationships for everything required to create a working office environment—from furniture, lighting, and artwork to medical equipment and technology.
  • Ensure seamless execution of large-scale clinic and office installations, as well as smaller site projects, relocations, and expansions.
  • Hire, coordinate, and oversee temporary site setup workers in each new location to handle furniture installation, desk setup, cable organization, art placement, and shelving installation.
  • Ensure all setup tasks are completed efficiently and correctly, holding temporary workers accountable for quality and speed.
