Responsibilities:
OVERVIEW OF ROLE
ILSC Language Schools (Adelaide, Brisbane, Melbourne, Sydney, Perth) are amongst the largest and fastest- growing language schools in Australia, known for the quality, rigor and variety of programs that are tailored to best meet international student needs and interests. The National ELICOS Admin Assistant (Admin Assistant) supports the National ELICOS Admin Manager in ensuring the ILSC mission of a transformative learning and living environment for students and staff is consistently upheld at all locations. Reporting to the National ELICOS Admin Manager, the Admin Assistant is part of the National ELICOS Admin Team (NEAT) and is responsible for all aspects of student administration and back-end support. The NEAT works closely with the Local and National Academic Teams to support the enrolment needs of current, prospective, and former students.
JOB DUTIES
The duties of this position include, but are not limited to:
- Ensuring the smooth delivery of and consistent outcomes for academic administrative operations
- Communicating effectively with students and/or agents when required
- Managing student placements in the SMS and LMS within operational constraints
- Programming Odyssey (SMS) across all campuses with session programs, courses, and classes
- Ensuring standardized coding for all classes (in agreement with all campuses and IT requirements)
- Liaising with the Local and National Academic Teams for consultation on specific cases
- Supporting local teams with the weekly orientation process for new students (including pre-arrival checks and communication, Day 1 Orientation, and late-comer follow-up)
- Generating and distributing weekly student intake reports with starters/returners
- Ensuring all relevant student information is accurately stored in the system (e.g. intake tests (PROLAs)/assessment levels, enrolment documentation, special notes)
- Actioning student requests sent through e-Services or redirecting to appropriate teams
- Supporting the National Compliance and National Academic Teams on Attendance Report, Progress Report, Warning Letters, and ITRs processes
- Issuing Academic Enrolment Letters as requested
- Continually reviewing and improving processes and procedures, including embracing innovation from both internal and external sources
- Understanding key regulatory compliance requirements, (including: ESOS Act, National Code 2018, ELICOS Standards 2018, NEAS
- Keeping up to date with industry trends and sector shifts and innovations
- Collaborating with ILSC Group’s national and global leadership teams as appropriate
- With the National Director and other management team members, developing and delivering on the
college’s directions, plans and KPIs
- Liaising with and supporting other departments within ILSC Education Group, in mutual support of the school functions, including, but not exclusively, advisors, registrars, accommodation and sales
- Assisting the Local and National Academic Teams with other assigned tasks
- Other related duties or projects as determined by the National Director
