JOB SUMMARY

Clyde Capital Programmes is a Major Portfolio of works which will deliver a single integrated operating base at His Majesty’s Naval Base Clyde (HMNBC) which is safe, secure, sustainable, and resilient for all the Royal Navy’s submarines. The Programmes comprise new build facilities, refurbishments and a resilient out-of-water engineering capability (Programme Euston) to support current and future operations. This includes Government Major Programmes & Projects. This is an exciting time to join the team, the delivery environment is both challenging and rewarding.
Navy Command Headquarters (NCHQ) is the nerve centre of the Naval Service. It supports operations around the globe and provides the ships, people, aircraft and equipment to deliver the UK’s defence policy.

The Submarine Directorate in Navy Command is responsible for all submarine in service capability and availability, including oversight of the Submarine Flotilla and Clyde Naval Base.
We are seeking a highly skilled and motivated individual to join our team as the Executive Assistant to the Euston Programme Director. In this role, you will provide administrative support to the Programme Director and his first line reports. Your expertise in managing calendars, scheduling appointments, meetings and travel, preparing and reviewing documents, will be crucial to the success of the programme.
The Candidate will play a key role in representing the Programme Director as the primary point of contact for internal and external communications. Your excellent communication skills will enable you to maintain an efficient flow of information, managing email correspondence and handling inquiries independently. You will also draft emails to internal and senior external stakeholders, showcasing your attention to detail.
The role is ideal for an individual who thrives in a fast-paced environment and enjoys proactively gathering and compiling relevant information. Your expertise in meeting coordination will contribute to the execution of executive-level meetings and Programme-wide events. Your accurate meeting minutes and efficient dissemination of information will be vital.
You will play a pivotal role in providing administrative support, facilitating effective communication, and coordinating meetings. This position offers an exciting opportunity to contribute to a significant capability programme.

ESSENTIAL EXPERIENCE

  • Demonstrated experience in providing high-level administrative support to senior executives, including managing schedules, communications, and administrative tasks.
  • Exceptional organisational and time-management skills, with the ability to prioritise tasks, manage multiple responsibilities, and meet deadlines efficiently.
  • Strong verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders, including government officials and senior executives.
  • Self-starters who are comfortable working independently in a fast-paced environment.
  • Excellent inter-personal skills, able to express themselves clearly and engage with a diverse set of senior stakeholders to ensure Euston Programme Director’s priorities are met.

DESIRABLE EXPERIENCE

  • Prior experience as an Executive Assistant or in an outer office role.

Where business needs allow, some roles may be suitable for a combination of office and home-based working. This is a non-contractual arrangement where all office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD office, will also count towards this level of attendance.
