JOB SUMMARY

The Job Holder will process mail and packages for a multitude of establishment customers, inclusive of military personnel, industry partners, contractors, civil servants, and The Royal Marines Charity personnel, including any off-site MOD assets under CTCRM chain of command.
The role will ensure personnel within the establishment can send and receive mail deliveries in a timely manner, within budgetary constraints and MOD Policy. The post holder will be required to effectively communicate with all personnel working within the establishment, contributing to an inclusive culture, treating others with fairness and respect in accordance with Service Values and Standards.
The ability to use initiative, work without supervision, prioritise, show determination and integrity in the pursuit of objectives.
Take responsibility for quality of own work, seek opportunities for improvement and remain current with procedural changes in the delivery of mail services.
Demonstrate effective communication skills and interest in others to develop a range of contacts to meet the requirements of the role.
Respond sensitively to confidential matters in a discrete and professional manner, secure sensitive packages appropriately and report missing or lost items immediately through the correct channels. Uphold personal detail security to safeguard requirements of GDPR (General Data Protection Regulation), for the protection of information.
The ability to pay attention to detail, whilst also keeping an overview on the wider perspective. Listen attentively to others and check understanding by asking questions or consulting with department chain of command as appropriate.
This position is advertised at 37 hours per week.

JOB DESCRIPTION

Processing of all outgoing mail, including:

  • Sorting of outgoing 1st and 2nd class mail, recorded delivery and Parcel Force.
  • Utilisation of online mail facilities to support current mail delivery processes

Customers include, Industry Partners, Contractors, Gordon Messenger Family Centre, Royal Marines Charity, UIF shop, Straight Point Range, Water Activity Centre, Civilian Accreditation, all Military Departments and messes including Recruits, Courses and Civilian Staff.

Processing of all incoming mail, including:

  • Royal Mail, Parcel Force, Amazon, DHL, UPS, Evri etc throughout the day
  • Sorting of all internal flyers, notice board announcements, surveys (military), military publications into departmental pigeonholes.
  • Redirecting mail and parcels (internal and external), pre-paid mail, medical test packages, general mail and Royal Marines Charity returns

Liaising with individual and departments to arrange collection of large/heavy items
Ensuring security of mail room at all times including opening and closing procedures, restricting access, maintaining security of all mail.

PERSON SPECIFICATION

We are looking for an enthusiastic, flexible and highly motivated individual with strong organisational skills. Ability to organise, prioritise and work independently is key along with strong communication and interpersonal skills. We want people that can make a difference and are trusted to provide the best service for our customers.

Essential skills required:

  • IT Literate and good understand of MS Office (Outlook, Word, Excel)
  • Willing to learn new skills and follow regulations and policy
  • Ability to complete the task at hand in a time sensitive manner or escalate where necessary
  • Ability to work independently

Where business needs allow, some roles may be suitable for a combination of office and home-based working. This is a non-contractual arrangement where all office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD office, will also count towards this level of attendance. The post does not offer relocation expenses.
External recruits who join the MOD who are new to the Civil Service will be subject to a six-month probation period.
