Job Summary: The New Patient Scheduler is the first point of contact for prospective patients seeking care at our clinic. This role plays a critical part in delivering an excellent patient experience by warmly welcoming patients, gathering necessary information, and coordinating appointments across multiple clinic locations. The scheduler ensures accuracy, efficiency, and professionalism in every interaction while supporting the clinic’s mission of providing high-quality medical care.

QUALIFICATIONS

  • High school diploma or equivalent required; associate degree in healthcare administration or related field preferred.
  • Minimum 1 year of experience in a healthcare, medical office, or call center environment (scheduling or front desk experience strongly preferred).
  • Knowledge of medical terminology, insurance verification, and HIPAA compliance.
  • Strong computer skills with proficiency in electronic health record (EHR) systems.
  • Excellent communication, active listening, and customer service skills.
  • Ability to multi-task, prioritize, and remain calm in a fast-paced environment.
  • Bilingual (English/Spanish) preferred but not required.
    Job Type: Full-time
    Pay: $19.00 - $22.00 per hour
    Expected hours: 40 per week

Responsibilities
  • Patient Intake & Scheduling
  • Serve as the initial contact for new patients via phone, email, or online requests.
  • Collect, verify, and enter demographic, insurance, and referral information into the electronic health record (EHR) system.
  • Schedule new patient appointments with appropriate providers across multiple clinic locations.
  • Ensure appointment availability aligns with provider schedules, clinical guidelines, and patient needs.
  • Communication & Customer Service
  • Provide clear instructions regarding required documentation, insurance coverage, and appointment preparation.
  • Handle inquiries with professionalism and compassion, offering solutions and alternatives when scheduling conflicts arise.
  • Maintain a high level of patient confidentiality in compliance with HIPAA regulations.
  • Collaborate with clinical and administrative staff to resolve scheduling issues promptly.
  • Data Accuracy & Documentation
  • Confirm insurance eligibility and ensure pre-authorization requirements are completed prior to scheduling.
  • Maintain accurate and up-to-date patient records in the EHR.
  • Document all patient interactions, changes, and follow-ups in a timely manner.

  • Work closely with referral coordinators, medical assistants, and providers to ensure a smooth patient intake process.
  • Participate in team meetings and contribute to workflow improvements.
  • Provide backup scheduling support for established patients as needed
