Description
Reporting to the Head of Compliance, the Trade Compliance Administrator will support Nexus’s global trade and customs operations by ensuring shipments, documentation and processes meet regulatory and company requirements. The role combines operational ownership of import/export activities with investigation and remediation of compliance issues, working closely with Operations, Commercial, Logistics and Legal teams. Primary responsibilities & duties Administer import and export documentation, including commercial invoices, packing lists, licences, certificates of origin and customs declarations to ensure accuracy and regulatory compliance. Review and validate shipment data in freight and customs systems, identifying discrepancies and initiating corrective actions prior to clearance. Support classification and commodity code management: assist with HS code research, maintain product classification records and liaise with internal stakeholders or external advisors for complex classifications. Manage and progress trade-related cases and investigations, such as missing documentation, tariff discrepancies, bonded inventory queries and denied party screenings, from intake to resolution. Coordinate with Freight Forwarders, Customs Brokers and internal teams to resolve clearance delays, duties and tax issues and ensure timely delivery of goods. Maintain accurate, audit-ready records in the company’s compliance and document management systems; prepare documentation for internal reviews and external audits when required. Monitor changes in trade regulations, customs procedures and sanctions lists; escalate and contribute to implementation of required process changes or controls. Assist with periodic reconciliations and reporting related to duties, taxes, bonded stock and customs-related costs. Support the development and maintenance of trade compliance policies, checklists and knowledge base articles to reduce recurrence of issues and improve operational consistency. Ensure compliance with information security and data protection policies when handling sensitive shipment and customer data. About you You are a methodical and dependable professional who combines strong attention to detail with practical knowledge of trade operations. You communicate clearly with internal and external partners, remain composed when resolving time-sensitive clearance issues and take ownership of cases until they are closed. You enjoy working with documentation, data and systems to ensure regulatory compliance and efficient logistics execution. We are looking for a candidate who is – Detail-oriented: Ensures documentation and records are complete, accurate and audit-ready. Analytical: Comfortable reviewing shipment records, tariff calculations and transactional data to identify root causes and remediation steps. Organised: Able to manage multiple shipments and cases, prioritise effectively and meet operational deadlines. Collaborative: Works effectively with Freight Forwarders, Brokers, Operations, Commercial and Legal stakeholders to resolve issues. Communicative: Strong written and verbal skills with the ability to explain compliance outcomes to diverse audiences. Technically literate: Confident using customs systems, ERPs, spreadsheets and document management tools. Customer-minded: Maintains service levels while protecting the company from regulatory and financial risks. Preferred skills & experience Experience in trade compliance, customs administration, logistics or related operational roles. Familiarity with HS classification, export controls, customs valuation and country of origin rules. Experience working with customs brokers, freight forwarders and international shipment documentation. Proven ability to prepare clear, audit-ready documentation and to support regulatory or internal audits. Comfortable escalating complex compliance matters and contributing to cross-functional problem-solving. Relevant qualifications (e.g. customs, trade, logistics) or professional training are desirable but not essential.
