NOTION & AI OPERATIONS MANAGER

Location: Dubai, UAE (Marina Plaza) – Full-time, On-site
Department: OperationsAbout the Role

Thrivestate is seeking a Notion & AI Operations Manager to build and maintain the backbone of our company processes. This role is responsible for designing workflows, documenting SOPs, centralizing knowledge, and ensuring smooth operations across departments by using Notion as the core platform—with AI and automation to drive efficiency.Key Responsibilities

  • Join company and departmental meetings to document summaries, capture decisions, and assign action items into Notion.
  • Build and maintain Thrivestate’s Notion workspace, including dashboards, databases, templates, and knowledge base.
  • Design, document, and maintain SOPs (standard operating procedures) for all business units.
  • Ensure each department’s Notion pages remain structured, accurate, and easy to navigate.
  • Track follow-ups and accountability for all meeting action points.
  • Leverage AI tools to:
  • Summarize meeting recordings.
  • Draft SOPs and workflows.
  • Automate repetitive admin tasks.
  • Connect Notion with other tools (CRM, Slack, email, Google Workspace, etc.) using Zapier/Make/API integrations.
  • Train team members on how to use Notion and follow established processes.

REQUIREMENTS

  • Advanced expertise with Notion (databases, rollups, relations, templates, automations, permissions).
  • Background in operations, process design, or project management.
  • Experience creating and maintaining SOPs and knowledge bases.
  • Familiarity with AI tools (ChatGPT, Fireflies, Otter.ai, Claude, etc.) for note-taking and process automation.
  • Skilled with automation tools (Zapier, Make, API integrations).
  • Excellent written and verbal communication skills.
  • Highly organized, detail-oriented, and proactive.
