Salary: Up to £34,400 per annum –Dependent on experience and including performance related bonus.

YOU WILL NEED TO HAVE THE FOLLOWING QUALIFICATIONS, TRAINING AND EXPERIENCE:

  • Previous administrative experience, preferably in a customer facing role with a similar client group.
  • Strong IT skills, including Microsoft Word and Excel
  • Knowledge and experience in database management.
  • Strong organisation and time management
  • Managing multiple outlook calendars
  • Understanding of social media.
Responsibilities

ABOUT THE ROLE:

The Administrator is a key customer-facing role, so you must be personable, friendly, and warm-natured, as well as highly organised and confident in handling parental and other customer queries. You will be supported through ongoing training, including an extensive induction programme and regular group Admin Training days. In addition to administrative duties, you will assist the nursery with organising and conducting meetings, supporting staff wellbeing initiatives, charity fundraising, and other exciting hosted events. Reporting to the Nursery Manager, Area Manager, and Directors, you will ensure that all systems and controls are consistently maintained and that both hard and digital data is managed efficiently. You will also be responsible for reconciling all nursery accounts, overseeing funding processes, meeting key deadlines, and ensuring timely and accurate invoicing—all to support the smooth and effective running of the nursery business.

KEY RESPONSIBILITIES INCLUDE:

  • Managing and issuing monthly nursery invoices to families
  • Reconciling all fee payments including Direct Debits, childcare vouchers, and Tax-Free Childcare
  • Monitoring the nursery revenue account and completing monthly account transfers
  • Ensuring timely and accurate processing of government funding and supporting documentation
  • Tracking and managing outstanding payments and assisting with debt resolution
  • Maintaining accurate financial records for each child and family using the EY system
  • Preparing monthly financial breakdowns and reports for senior management
  • Overseeing registration forms, contracts, and deposits prior to child start dates
  • Communicating professionally with parents regarding fees, funding, and accounts
  • Cross-referencing receipts, charge card transactions, and maintaining accounts filing systems
  • To effectively manage Nursery occupancy movements such as additional sessions and room movements to ensure the smooth running of the setting and the availability of nursery places including waiting list management.
  • To effectively manage the Nursery diary to ensure the smooth running of the nursery setting, booking viewing appointments for prospective parents and all other visitors.
  • To robustly manage and maintain all hard and soft data in line with Data Protection and Confidentiality laws, guidelines and company policies.
  • Be able to use and Manage multiple online systems such as QuickBooks .
